Under the supervision of the Idaho College of Osteopathic Medicine (ICOM) Director of Financial Aid, the Financial Aid Coordinator will support the Office of Financial Aid in delivering financial aid information to current and prospective students from application through the student lifecycle and beyond graduation. This position will be responsible for all aspects of student financial aid administration including reviewing Institutional Student Information Record (ISIR) and financial aid applications records to determine eligibility for aid, packaging student aid, distributing financial aid notifications and awards, processing loans and other aid, all while ensuring compliance with institutional, state, and federal requirements and regulations.

Responsibilities
  • Assist and advise students applying for federal, state, institutional, and outside sources of financial aid; research available options and sources; discuss various eligibility criteria and explain ineligibility as necessary; interpret and explain ICOM’s financial aid policies and procedures.
  • Disseminate information about sources of financial aid and the ICOM financial aid process to current and prospective students and respond to inquiries by telephone, email, and in-person.
  • Monitor and evaluate Satisfactory Academic Progress (SAP)of students.
  • Assist with Return to Title IV calculations if a student is withdrawn or dismissed.
  • Review ISIR and financial aid applications. Resolve any conflicting information. Determine eligibility of students for financial assistance through analysis and interpretation of data and guidelines.
  • Utilize professional judgment to adjust a student’s eligibility based on documented mitigating circumstances in accordance with federal statutes; may refer complex eligibility situations to the Director.
  • Understand aid eligibility, restrictions, need analysis, and limits and apply them when packaging aid for students. Prepare financial aid award notifications for each student.
  • Perform financial aid counseling for students, including exit counseling for students that are suspended, withdrawn, or dismissed.
  • Assist with reporting needs. Analyze reports such as grades and enrollment status or award status to verify continued compliance and eligibility of students receiving aid/scholarships under federal, state, outside, and institutional guidelines; notifies students of changes in eligibility of awards and suggests corrective action to restore award eligibility.
  • Administer the aid under the Title IV program in accordance with all statutory provisions under the Higher Education Act (HEA). Establishes and maintains records required under HEA.
  • Identify and resolve conflicting information with NSLDS pertaining to identity, awards, and default.
  • Maintain current knowledge and learn new state and federal laws, rules, and regulations pertaining to financial aid; attend seminars, conferences, workshops, and other training sessions; participate in the development of new/revised procedures to accommodate changes that will positively impact efficiency and quality of services provided.
  • Conduct presentations, workshops, and orientations to inform prospective and current students of financial aid program requirements and deadlines, as well as financial literacy and debt management information.
  • Assist with Student Services related activities and campus wide events.
  • Refer students needing assistance in other areas to the appropriate parties.
  • Perform other related duties, as assigned.

ICOM is unable to sponsor employment visas at this time.

Requirements

  • Bachelor’s degree in a relevant field plus at least 2 years of related experience.
  • Previous experience in Osteopathic or Allopathic Medical College financial aid administration preferred.

  • Must have a thorough knowledge and understanding of the laws, regulations, and guidelines related to student financial assistance, as well as a good understanding of the technological support required for the efficient operation of the programs of the office.
  • Strong oral and written communication skills are required.

  • Ability to research regulatory information and resolve complex financial aid questions, to investigate, analyze information and draw conclusions.
  • Work experience that demonstrates attention to detail and a high level of accuracy under pressure.

  • Strong teamwork principles.
