Position Summary

The Operations Coordinator oversees the daily operations of ACAM, supports the finance department, and fosters inter-departmental collaboration.

The ideal candidate has experience in an administrative position with financial responsibilities and strong written, verbal communication, administrative, and organizational skills. The Operations Coordinator must possess the ability to maintain a realistic balance among multiple priorities, work independently on projects from conception to completion, exercise good judgment in various situations, and work under pressure when necessary to manage a wide variety of activities and confidential matters with discretion.

ACAM is a Houston-based 501(c) organization dedicated to creating pathways to stability, health, and wealth for families in our region. We achieve this by offering programmatic opportunities to a coalition of 16 core community-based direct service nonprofits and over 100 sector and cross-sector partners. The ACAM staff consists of a group of seasoned professionals who are committed to strengthening the social human service safety net.

Essential Job Functions

  • Ensure seamless daily operations and address operational challenges.
  • Assist with staff recruitment and new hire onboarding.
  • Schedule staff and program director meetings.
  • Oversee procurement, purchasing, and office supply management. Assist ACAM staff in the procurement process for various programs.
  • Provide a smooth bridge between CEO and program directors.
  • Support the Director of Financial Operations with coordination between PEO and other HR tasks.
  • Support the Financial Operations department and ensure continued and seamless. communication between Financial Operations and other departments.
  • Coordinate with the supervisor on expense reimbursements, invoicing, and account payable.
  • Represent ACAM in the community through Education & Outreach Program.
  • Act as liaison between IT consultant and other external consultants. Support software and hardware troubleshooting.
  • Support the Development department with CRM maintenance and data entry.
  • Send and receive ACAM Network Partnership Agreements.
  • Research new technology, systems, or software to improve upon program operations.
  • Maintain and organize office files and records, ensuring confidentiality and compliance with organizational and funder policies.
  • Work with building management and maintenance
  • Other administrative and operating duties as assigned.

Education/Experience

  • Associate’s degree (or higher) from an accredited university.
  • Degree in Business Administration, Accounting, Government, Communications, or related field preferred.
  • Two years of experience in an office setting
  • Demonstrated history of adaptability, ability to prioritize, and strong organizational skills.
  • Exceptional reasoning and reading comprehension skills required.
  • Exceptional oral and written communication skills, including strong spelling and grammar
  • Must demonstrate strong interpersonal skills and attention to detail.
  • Proficient computer skills, especially with Microsoft Excel, Outlook, PowerPoint, & Teams, and familiarity with social media/communications platforms like Zoom, Facebook, and Twitter.
  • Ability to operate general office equipment.
  • Bilingual (English and Spanish) preferred, but not required.

Compensation

  • $25/hr with a 35 hour work week
  • Pension provided after six months of employment. 15% of gross wages contributed by employer. Employee match not required. Annually subjected to Board Discretion.

  • Earn up to 22 days PTO in the first year
