Job Summary:

The Office Manager is responsible for overseeing the daily operations of the office, ensuring a smooth and efficient workplace. This role combines administrative duties with human resources responsibilities, including recruitment, onboarding, employee relations, and compliance. The Office Manager will support the industrial company by maintaining office systems, coordinating HR activities, and fostering a positive work environment.

Key Responsibilities:

Office Management:

  • Oversee daily office operations, ensuring a well-organized and efficient workplace.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate maintenance and repair of office equipment and facilities.
  • Handle incoming and outgoing correspondence, including emails, mail, and phone calls.
  • Organize and schedule meetings, appointments, and company events.
  • Maintain accurate records and filing systems for documents and reports.

Human Resources:

  • Assist in the recruitment process, including posting job ads, screening resumes, and coordinating interviews.
  • Conduct new employee onboarding, including orientation, training, and paperwork.
  • Maintain employee records and ensure compliance with company policies and legal regulations.
  • Handle employee relations issues, providing support and guidance to staff as needed.
  • Coordinate performance reviews and support management in addressing performance issues.
  • Administer employee benefits programs, including health insurance, retirement plans, and leave policies.
  • Ensure compliance with labor laws, OSHA regulations, and company policies.

Administrative Support:

  • Provide administrative support to management and other departments as needed.
  • Prepare reports, presentations, and other documents as required.
  • Assist with budget preparation and expense tracking.
  • Coordinate travel arrangements for staff and management.
  • Manage office petty cash and handle expense reimbursements.

Continuous Improvement:

  • Identify and implement office process improvements to enhance efficiency and productivity.
  • Stay updated with industry best practices and regulatory changes related to office management and HR.

Qualifications:

  • Bachelor's degree in Business Administration, Human Resources, or a related field.
  • Minimum of 5 years of experience in office management and human resources, preferably in an industrial setting.
  • Strong knowledge of HR practices, labor laws, and compliance requirements.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and attention to detail.

Working Conditions:

  • This position is primarily office-based, with occasional visits to the industrial facility.
  • Must be available to work standard business hours, with occasional overtime as needed.
  • Some travel may be required for training or company events.
