HYBRID Meeting Planner in Arlington Heights Medical Association is looking to hire an experienced Meeting Planner to manage several large events throughout the year. Must have minimum three years of logistical management, planning, execution, contracts, budgets, travel and third party vendor collaboration. This role is very visible in the organization: strong communication and professionalism is required. Tech savvy within Asana, Concur and MS Office Applications. Attention to detail and follow-up to work within deadlines. Pays up to $80K, excellent benefits day one and immediate interviews.


Job Requirements:

3-5 years of meeting planning experience (corporate preferred, but hospitality/hotel events, conventions, etc. OK)

Planning and execution for over 300 attendees

Contract and budget experience, food/beverage, full event logistics planning and working with vendors.

This is not a coordinator level role: experience with making decisions for events/meetings.


Job Duties:

Manage pre-planning, onsite execution, and post-event wrap up logistics for assigned events: meeting specifications, shipping and receiving, transportation, event production, décor, entertainment, photography and flora

Counsels and advises staff as needed in meeting and event development and planning, such as site selection, contract negotiations, budgeting, space configurations, logistical setups, established protocol and contractual obligations and risks.

Evaluations with third-party vendors, including audio-visual suppliers, general services contractors, security, caterers, telecommunications, and rigging companies and other vendors as needed.
