General Purpose:

Reporting directly to the President and CEO, the Executive Planning Manager provides executive support in a working relationship focused on the mission of Goodwill NYNJ: to empower people to gain independence through work. The Executive Planning Manager ideal candidate loves using data to tell a story, and leverages their strong power point, written and verbal communication, administrative, and organizational skills. The successful candidate will be able to maintain a realistic balance among multiple priorities, including urgent and long-term. The Executive Planning Manager will have the ability to work independently on projects, from conception to completion, and must be able to work under time pressure to handle a wide variety of activities professionally and with discretion. In addition to working independently, the Executive Planning Manager works and communicates well both internally with staff, and externally with donors and potential donors, business leaders and employers and elected officials and their offices.

Operational and Project Management Support:

The Executive Planning Manager will oversee the executive office, ensuring efficiency and alignment with organizational goals and strategic priorities. They will:

  • Manage CEO initiatives and projects, overseeing deliverables and ensuring completion of cross-functional projects.
  • Manage projects by ensuring crucial deadlines are tracked and met, organizing necessary resources, and ensuring accountability, leading to the successful completion of each project. They will be accountable to report on progress and management of completion.
  • Management of the Goodwill NYNJ 5 year Strategic Plan, by following up with tasks, managing deliverables, creating Gantt charts and ensuring updated KPIs from all departments feed into updates on progress.
  • Create first drafts of decks, reports, written communications to external stakeholders. Generate and manage RFP’s for CEO and Executive special projects, manage billing, vendor management and payments for the office of the CEO.
  • Enable the CEO to manage the operations of Goodwill NYNJ overall by working closely with the CEO, CFO and other members of leadership to conduct timely review of data on programs, store sales, development events, etc. to inform problem-solving and decision-making.
  • Executive Team Coordination: Coordinating meetings, agendas, and follow-ups for the executive leadership team, ensuring effective communication and execution of decisions.

Administrative Leadership:

  • Accountable to complete a broad variety of administrative tasks for the President & CEO including but not limited to:
    • Calendar management
    • Complete credit card reconciliation reports for CEO, CFO and EVPs
    • Completing expense reports and invoice submission
    • Compose and prepare correspondence
    • Arrange travel plans, itineraries, and agendas
    • Compile documents for travel-related meetings
  • Report all Lobbying activities to NYS and NJS regulations and ensure proper compliance
  • Create and improve the clear organization of Goodwill’s Standard Operating Procedures, intranet, newsletters, All Staff correspondence and key communications.
  • Liaise with Goodwill Industries International (GII) regarding reports and data requests, fundraising events, and multiple conferences a year.
  • Manages CEO’s outside board and committee memberships (such as the Workforce Development Board, Goodwill Finds, Goodwill affinity groups, etc.).
  • Support Marketing & Development with planning and execution of quarterly and annual events.
  • Coordinate with Human Resources for successful onboard of new executive leadership members, staff recognition, and welcome all new staff.

Board Support and Liaison: 

  • Serve as the liaison between the CEO, Board of Directors and Board Committees – such as Development and Audit Committee, Executive Committee etc.
  • Schedule and coordinate Board meetings, committee meetings, events, and personal meetings with current and future board members
  • Build presentation and reports from data, based on Strategic Plan for Board of Directors, external and internal using clear language, KPIs and personal success stories to give the range of Goodwill’s impact.
  • Provide advance distribution of Board and/or Committee materials before meetings to give Board members enough time for review and meeting preparation.
  • Prepare, edit, confirm and distribute Board and Committee meeting minutes per pre-decided timeframes following meetings.
  • Organize and manage Board Events, including Annual Retreats – preparation would include in-person scheduling, agendas, logistics and overall meeting preparation.
  • Create a monthly Board Newsletter designed to communicate organizational updates and highlights.
  • Become familiar with Goodwill NYNJ by-laws and ensure compliance with applicable rules and regulations set in bylaws regarding Board and Board Committee matters.
  • Know and gain expertise in Board governance, rules, and policies governing not-for-profit boards.
  • Help new members of the Board onboard and support current members in their Board and Committee work.
  • Manage organized organizational documents necessary to ensure Goodwill NYNJ’s ongoing compliance and maintenance of Not-for-Profit status, including tracking all Board activities and updates.

Activities are subject to change to meet business needs with management approval.


Qualifications (The following qualifications are required):

  • Strong work tenure with a minimum of five years of experience supporting C-Level Executives
  • Research and evaluation experience creating decks / power points, decision memos, analysis of data and presentation to recommend best course of action
  • Previous work with Strategic Plans, Gantt Charts, PMP framework and the ability to create organized files for access by organization
  • Excellent writing for emails, memos, newsletters, minutes, and social media
  • Proficiency in Outlook, Word, Excel, Power Point, Adobe Acrobat, and social media web platforms
  • Highly organized and enjoy using new technology tools for effective communication and accountability on deliverables (e.g. Monday, Asana, others)
  • Experience providing Board level support including, familiarity with organizational by-laws, necessary Board compliance activities and trainings, administration; minute drafting, schedules, materials and related
  • Ability to maintain discretion and confidentiality in relationships with CEO and Board members
  • Professional in all interactions – will represent the brand and the CEO

  • High level of interpersonal skills and ability to problem solve
  • Ability to manage multiple responsibilities simultaneously, prioritizing when needed while remaining extremely organized
  • Ability to project manage and be adaptable to changing environments
  • Advocate and be an ambassador for Goodwill NYNJ and our mission

Special Working Conditions:

  • Must be able to commute to Goodwill headquarters, in Brooklyn, NY at least two times per week regularly.
  • Must be available for in-person events as needed, sometimes on nights and weekends.
