Purpose: The Service Admin/ Accounts Receivable Specialist will primarily be responsible for tracking and processing incoming and outgoing accounts receivable and collections transactions of designated client financial accounts and administrative support within the service department.

Essential Functions and Responsibilities:

  • Creates invoices according to company practices; submits invoices to customers
  • Verify or Match Purchase Orders to invoices.
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions
  • Copies, files, and retrieves materials for accounts receivable as needed.
  • Research customer discrepancies and past-due amounts with the assistance of the Manager and other staff.
  • Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
  • Relays changes of information to appropriate employees
  • Creates reports regarding the status of customer accounts as requested.
  • Collection of past due invoices through phone calls and emails.
  • Inbound and outbound calls and/or emails daily.
  • Answer the phones.
  • An ability to produce a high-volume output while maintaining an attention to detail.
  • Receives, organizes, and maintains all construction documents.
  • Cross train and provide back up support in the office.
  • Other general administrative duties as assigned.

Skills/Knowledge:

  • Excellent verbal and written communication skills.
  • Ability to effectively plan, organize and meet deadlines while maintaining a high level of quality.
  • Proficient computer skills required.
  • Microsoft Office Suite or related software as well as other accounting software (ERP) programs.
  • Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally with customers.

Education/Experience:

  • High school diploma or equivalent required.
