Basic Function
Acts as a liaison between different areas in an organization. To execute and support paperwork & system controls for domestic shipping and receiving. Responsible for obtaining competitive, consistent and reliable transportation capacity, including but not limited to FTL, LTL and Rail. To route trucks in coordination with buyers in the most cost efficient and timely manner for delivery into the facility. This includes pickup and delivery information, loading time and locations, directions to locations and freight information. May be required to cover, or be trained to cover, import and export shipments. To prepare shipping documents in accordance with established procedures and guidelines; to check shipping documents such as bills of lading, packing lists, invoices, etc. for accuracy; may be required to calculate, or be trained to calculate, the value of duties and tariffs due on transported goods. To perform this job successfully, an individual shall be familiar with standard concepts, practices, and procedures within the logistics field. This position relies on limited experience and judgment to plan and accomplish goals. The qualified candidate is required to perform a variety of tasks under general supervision. A certain degree of creativity and latitude is required.
Essential Duties & Responsibilities
- Work with various departments and individuals in the organization to ensure materials and resources flow through the company in a timely manner.
- Enter shipping document information into the system in an accurate manner; generate and proofread data entry for accuracy and correct discrepancies.
- Track cargo movements and cargo status, including but not limited to shipping, transit time, arriving, free hours, arriving customer door, dropping off, empty trailer return, etc.
- Spot Rate Quotation, Track and verify status of shipping, resolve delays and other issues in a timely manner; enter or update status into the system efficiently.
- Prepare documents related to cargo delivery including but not limited to dispatch order; coordinate cargo delivery avoid accessorial charges.
- Proactively coordinate with carriers and customers to ensure on time delivery; continuously find ways to improve Customer Satisfaction in terms of smooth and on time delivery.
- Handle shipping related claims. In case of unavoidable costs, investigate causes of current incidents, implement cost effective solutions and find preventive methods for future.
- Verify transportation related invoices and enter shipping related events into the system promptly; resolve discrepancies whenever it is necessary.
- Respond to Customer Service Department and DCs department inquires in a prompt and courteous manner; input, verify and maintain costs in the system accurately.
- Communicate with individuals at different levels in the organization and all vendors to get best result of customer delivery satisfaction.
- Report to supervisor issues that might not be resolved independently or may cause significant impacts or costs.
- Obtain competitive quotes including but not limited to transportation, storage, trans-loading, in a timely manner. Enter such information into system promptly.
- May be required to, or be trained to, provide backup to Customs Clearance Specialist as needed.
- May be required to or be trained to perform filing duties each day to include file maintenance on a regular basis.
- Respond to transportation oversight and resolve tactical issues.
- Foster and develop strong partner relationships with logistics partners.
- Perform other shipping related duties as assigned by the supervisor or the company.
- Must be able to schedule appointment directly with the customer receiver and shipper based on the capacity and transit time.
- Must have good communication when speaking with the customer.
- Making sure load are being track and trace daily until delivery is completed to the receiver/customer.
- Data entry is required for Invoice processing to AP.
- Must be detail oriented and able to multitask.

This position requires an Associate’s degree or its equivalent in area of logistics and/or related area; or equivalent combination of education and experience in the area of Domestic Transportation, including FTL, LTL, and Rail.
Experience
0-2 years of experience in the coordinating domestic transportation field or in a related area.
Preferred:
Knowledge and experience with carrier service coverage, delivery standards, and competitive rates.
Knowledge of tracking, tracing shipment reconsignment / return and storage/redelivery.
Knowledge of outbound logistics and carrier operations.
Possess an ability to work in a team environment in pressure situations within changing demands and time constraints.
General knowledge of D.O.T. regulations such as Hours of Service and legal weight limits.
