Job Summary:  

The Executive Assistant provides high-level administrative support to the CEO and other senior executives, ensuring the smooth operation of daily activities. This role requires a highly organized, detail-oriented individual with excellent communication skills and the ability to handle sensitive and confidential information. The ideal candidate will be a self-motivated individual with an extensive administrative background.

 

ESSENTIAL FUNCTIONS:  

  • Exercise independent judgment with the activities related to the general business operations of the executive team.
  • Work closely with the CEO and executive team to keep them well informed of upcoming commitments and responsibilities and follow up appropriately.
  • Manage and maintain executives' schedules, including arranging meetings, appointments, and travel. Prepare and coordinate meeting agendas, materials, and follow-up actions.
  • Serve as a liaison between executives and internal/external stakeholders. Handle correspondence, including drafting and reviewing documents, emails, and reports.
  • Assist with special projects and initiatives by conducting research, preparing reports, and coordinating resources. Monitor project timelines and deliverables.
  • Ability to undertake proactive follow-ups on critical matters to effectively meet deadlines/commitments.
  • Plan and coordinate travel arrangements, including booking flights, accommodations, and transportation. Prepare detailed itineraries and ensure all travel logistics are handled.
  • Organize and coordinate executive events, meetings, and conferences. Manage logistics such as venue selection, catering, and guest arrangements.
  • Handle sensitive and confidential information with discretion and professionalism. Ensure the privacy and security of all data and communications.
  • Prepare and maintain accurate records, reports, and documentation. Assist with budgeting and expense tracking as needed.
  • Proactively identify and resolve issues, anticipating the needs of executives and addressing challenges promptly.
  • Regular and reliable attendance. 
  • Perform other duties as assigned by supervisor.

REQUIREMENTS

  • Associate or bachelor's degree in business administration, management, or a related field preferred with a minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
  • 10 years of experience as an Executive Assistant or in a similar role in lieu of a degree.
  • Experience in a corporate or high-level environment is a plus.
  • Proficient in the use of Microsoft Word/Excel/PowerPoint/Outlook.
  • Ability to interact well with people on all levels.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • High attention to detail and accuracy.
  • Strong problem-solving and decision-making abilities.
  • Discretion and confidentiality.

 

PHYSICAL DEMANDS:   

  • Frequent communication with others to exchange information.
  • Constant use of computer for prolonged periods.
  • Prolonged sitting, walking, or standing for brief periods of time, negligible amount of force needed to lift, carry push, pull or otherwise move objects, ability to lift up to 30lbs with or without a reasonable accommodation.
  • Constantly thinking and processing information.
  • Constantly maintaining concentration and focus on tasks.

 

WORK ENVIRONMENT: (include any expected/required travel requirements)

  • General office environment.
  • May require occasional exposure to production area with airborne particles, loud noises, and extreme heat and cold. Personal protection equipment is required when entering manufacturing plant.
  • Travel to other locations as necessary to provide direct support to the leadership team.
