Administrative Assistant


We are looking for an Administrative Assistant, at our White Plains, New York headquarters, to support our executive team and ensure the smooth operations of our executive offices. The Administrative Assistant will provide high-level administrative support to the executive team, ensuring efficient operation and handling sensitive and confidential information with utmost professionalism and integrity and can communicate with all levels. The role demands exceptional organizational skills, attention to detail, and the ability to adapt to a fast-paced, ever-changing environment. Additionally, 30% of the role will involve general administrative support duties. This position will report to the Co-CEO’s but will be expected to work and support various other executives.

Responsibilities:


Executive Support (70%):

  • Coordinate multiple executive calendars, schedule appointments, and reconcile scheduling conflicts as required.
  • Arrange and coordinate meetings, including securing necessary resources and preparing meeting documents such as presentation books and PowerPoint presentations.
  • Organize domestic and international travel arrangements, including flights, cars, hotels accommodations etc.
  • Process travel and expense reports for Co-CEO’s and other executives as needed.
  • Support various projects and meetings, and assist other Administrative Assistants as needed.

General Administrative Support (30%):

  • Set up and maintain filing and record retention systems.
  • Backup support on rotation for Front Desk Administrative Assistant.
  • Coordinate and assist in the distribution of incoming mail and other documents.
  • Perform other administrative tasks as required.

Qualifications:

  • Bachelor’s degree or equivalent work experience
  • Minimum of seven years' experience providing administrative support to senior level executives with preference for prior experience working at a Private Equity Firm or Asset Management Firm
  • Strong analytical skills and demonstrated ability to improve process and efficiency
  • Ability to be comfortable working in a fast-paced environment and work with minimal direction; learn quickly and independently
  • Flexibility and ability to manage multiple assignments and projects simultaneously with tight deadlines and interruptions
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Articulate, with excellent writing ability and communication skills
  • Must be proficient with MS Office products (Teams, Word, Excel, PowerPoint, Outlook mail and calendar)
