Must Haves:

Day to Day:


We are looking to quickly hire a Finance and Contracts Administrator in support of our growing project portfolio in their Northwest Region, WTR Business Unit.

The Finance & Contracts Administrator position will be trusted to provide efficient, accurate, and reliable support to Project Managers for price proposal development, contract review administration, project initiation, invoicing, collections, subcontract administration, and project closeout. Qualified candidates will have relevant experience in the architect/engineering consultant industry and will be prepared to step in quickly, effectively and with minimal training to allow our Project Managers to immediately and actively engage support. This position offers multiple growth opportunities in both contract administration and project management.

The Finance & Contracts Administrator will help the NW Operations & Project Teams deliver successful projects for our clients and achieve annual performance goals by assisting with and positively influencing various aspects of project management and financial operations. This includes aiding Project Managers with fee proposals, developing billing rate tables, creating and reviewing pricing templates, and consolidating price proposal inputs while reviewing profitability. The role involves supporting the Office Manager in ensuring that contract review procedures are followed, documented, and executed promptly. The Administrator will assist in project and proposal initiation and closeout by preparing initiation forms, building work breakdown structures, setting up projects in the accounting system, and maintaining contracting records. In subcontract administration, the Administrator will help with subcontract preparation, monthly invoice reviews, cost accruals, payments, and ensuring compliance with insurance and health & safety records. The role also includes assisting with invoicing and collections to ensure timely billing and adherence to contract terms, interfacing with corporate billers, and communicating with clients for collections. Additionally, the Administrator will support financial components of routine project reviews, highlighting financial red flags and gathering information on project challenges. Operations support includes efforts to maintain a productive regional team and balanced workload through backlog analysis, productivity forecasting, and load leveling. The role requires maintaining positive and productive working relationships with various teams and occasionally serving as backup to other Finance/Contract Administrators, Project Assistants, or Office Administrators. Other duties may be assigned as needed.
