Job Summary

We are seeking a highly skilled Grants and Finance Specialist to join our team at the University of Washington School of Social Work. This is an exciting opportunity to work in a dynamic and collaborative environment, supporting the pre-award and post-award management of research grants and contracts.

Key Responsibilities
  • Manage a portfolio of research awards, ensuring compliance with budget and fiscal policies, procedures, monitoring, reconciliation, and reporting for research grants and contracts.
  • Develop and manage budgets, planning fund expenditures, and preparing monthly budget reports.
  • Advise Principal Investigators (PIs) on fiscal plans and best course of action.
  • Coordinate expenditure transactions, prepare and analyze monthly budget management and compliance monitoring reports, and review expenditures for compliance.
  • Work with SSW Human Resources staff on payroll additions or changes for research project personnel.
  • Interact with staff of UW Grant and Contract Accounting on post-award management issues, including ensuring correct application of indirect costs.
  • Oversee field advance processes for researchers, ensuring timely invoicing and compliance with Office of Human Subject and tax reporting protocols.
  • Coordinate arrangements for research program activities, such as sponsor onsite review meetings, seminars, and visits.
  • Ensure timely and accurate completion of faculty effort certification report and manage subcontracts through Workday and other research systems.
Requirements
  • Bachelor's Degree in Finance, Accounting, Business Administration, Public Administration, or related field.
  • Two years of experience with program administration in an academic research environment or similar environment.
  • Experience working with a variety of sponsors, including federal sponsors such as NIH, HRSA, and non-federal sponsors such as the Bill & Melinda Gates Foundation.
  • Experience developing and monitoring complex budgets, managing priorities to meet deadlines, and interacting with faculty and department leadership in project management context.
  • Excellent written and spoken communication skills, ability to take initiative, and work in a collaborative team environment.
  • Advanced experience with Microsoft Office, particularly Excel, and ability to interpret and apply institutional administrative and fiscal compliance guidelines and practices.
Desired Qualifications
  • Experience working with staff from UW operations (OSP, GCA, MAA, etc.) and sponsor program and research staff.
  • Experience with UW Administrative systems: SAGE, MyFD, Data Warehouse, GHX, and Workday.
