Summary of Position:

The ideal House Manager is passionate about providing an exemplary experience for event guests of Ruth Bancroft Garden in Walnut Creek, California. The Ruth Bancroft Garden is a 3.5-acre collection of rare and unusual succulent and dry plants that is also a magical place to host people’s important life events. This position will be responsible for supporting special events and private garden rentals (primarily weddings), under the direction of the Events Manager. This is an excellent opportunity for a person with an appreciation for public botanical gardens and experience in public and private hospitality events. This position will be responsible for “day-of” troubleshooting for private and public events and is responsible for everything that happens on the property before, during and after the event, including the protection of the plant collection during the event. The House Manager will be the only staff member on-site during most of the events. This position will need to interact with planners, vendors and guests to protect the property while ensuring a great experience for the guests. This is a part-time position (averaging 20 hours per week. Candidate must be available to work weekends and evenings and accommodate a flexible schedule.

Supervisory Responsibilities:

Together with the Events Manager, the House Manager will supervise a team of Event Associates to ensure that all tables, chairs, and any other “bones” of the event are properly set up.

Responsibilities:

25%- PATRON SERVICES

  • Be on site and available during event to provide peace of mind to clients and answer basic questions
  • Proactively handle any issues and work to resolve them in accordance with policy guidelines
  • Manage difficult or emotional customer situations
  • Communicate with Events Manager and client at final walkthrough to gain complete understanding of client’s expectations and needs

20% EVENT SETUP AND BREAKDOWN

  • Oversee the overall physical setup of event space including chairs, tables, any other rented furniture or décor placement
  • Assist with transport, set-up and dismantling types of equipment including tables, chairs, linen, and audio/video equipment
  • Supervise team of event assistants to ensure that tables and chairs are placed according to customer’s expectations.

15% MAINTENANCE AND PROPERTY CARE

  • Assist in maintaining site upkeep and beautification throughout the events
  • Perform minor maintenance and repairs during events
  • Keep storage sheds organized and clean
  • Report broken equipment
  • Manage event guests in the garden to avoid stepping in the plant collection, to stay on paths within the garden, and not enter the retail nursery area during non-business hours.

15% SAFETY & SECURITY

  • Check and report unauthorized use of facilities and any unusual situations
  • Monitor traffic during events to maintain a safe environment
  • Set up and remove any event signage (including parking, no smoking, closed for private event, etc.)
  • Act quickly during medical incidents by getting assistance immediately and later documenting the incident
  • Monitor garden and guests, ensuring all rules are followed (i.e. nothing in garden beds, no smoking or vaping, no shots of liquor or overly intoxicated guests

10% CATERER MANAGEMENT

  • Act as point of contact for the caterer day of the event
  • Check out the caterer at the end of the event, ensuring the kitchen and other areas are clean and left in good order

5% JANITORIAL DUTIES

  • Maintain restroom facilities before, during and after events
  • Clean windows, walls, and chairs as needed
  • Sweep or blow away excess foliage and spiderwebs

5% OTHER

  • Perform additional assignments and projects as requested by the Events Manager
  • Assist with supervisory responsibilities, including managing an event staff of young people

Experience

A minimum of two years of professional experience working in an event planning capacity

Education

High School Diploma or G.E.D. equivalent

Bachelor’s degree preferred
