Position Summary:

The Administrative Assistant will provide administrative and clerical assistance to Leadership of the Harbor Light System.

Essential Responsibilities:
  • Manage the schedule and select communications of the Executive Director
  • Organizes meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Process and distribute confidential and sensitive documents
  • Receive, sort, file, and retrieve forms, correspondence, and documents
  • Compile data from client and staff surveys to deliver outcomes
  • Perform various clerical duties using Microsoft Office software including Word, Excel, PowerPoint, and Publisher
  • Assist in the coordination and execution of Harbor Light system-wide events
  • Compiles and formats analytical and informational reports
  • Maintains confidential databases, spreadsheets, and dashboards
  • Maintain various records and documents for company executive(s)
  • Draft, review, and send communications on behalf of company executive(s)
  • Maintains strict confidence regarding information and protects operations by keeping information confidential
  • Take minutes at Advisory Council meetings
  • Perform other duties as assigned.

Qualifications:

Education / Experience:
  • Must possess a high school diploma or equivalent
  • Five years of experience in clerical work or any equivalent combination of education, training and experience that demonstrates the ability to perform the duties of the position

Skills, Knowledge & Abilities:
  • Excellent written and verbal communication skills
  • Highly organized
  • Strong time-management skills with the ability to multitask
  • Ability to pay attention to detail
  • Must possess the ability to work independently
  • Maintain strict confidentiality
  • TB Test and police clearance required

Computer Skills:
  • Must possess advanced Microsoft Office 365 skills

Certificates and Licenses:
  • Complete Safe From Harm training, and keep current as needed
  • Must have and maintain a current valid chauffeur license and pass the Salvation Army Motor Vehicle Record check (MVR)

      • The accrual rate is based upon years of service and approved hours worked.
