This role involves providing comprehensive administrative support to 2 to 4 attorneys, ensuring the smooth operation of legal activities and office management. The ideal candidate will have a strong background in legal administration with a minimum of 3 years of relevant experience, particularly in supporting multiple attorneys.
Key Responsibilities:
- Administrative Support: Provide day-to-day administrative support to attorneys, including managing schedules, preparing legal documents, and handling correspondence.
- Document Preparation: Draft, format, and proofread various legal documents including pleadings, motions, and briefs. Ensure all documents comply with court requirements and firm standards.
- E-Filing: Manage electronic filing of documents with state and federal courts, ensuring timely and accurate submissions.
- Calendaring: Maintain and update the attorneys' calendars, scheduling court dates, appointments, and meetings. Ensure all deadlines are met and inform attorneys of upcoming obligations.
- Case Management: Organize and maintain case files, both electronic and hard copy, ensuring they are up-to-date and accessible. Assist with the preparation and organization of case materials.
- Communication: Serve as a liaison between attorneys, clients, court personnel, and other stakeholders. Handle incoming calls, emails, and other communications professionally and promptly.
- Office Management: Assist with general office duties such as ordering supplies, managing office equipment, and ensuring a clean and efficient work environment.
- Confidentiality: Maintain strict confidentiality of all legal matters and client information.
Qualifications:
- Experience: Minimum of 3 years of experience as a Legal Administrative Assistant or in a similar role.
- E-Filing Expertise: Proven experience with electronic filing in state and federal courts.
- Document Preparation: Strong ability to prepare and manage court documents, including pleadings, motions, and briefs.
- Organizational Skills: Exceptional organizational and multitasking skills with a keen attention to detail.
- Communication Skills: Excellent written and verbal communication skills.
- Technological Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software.
- Interpersonal Skills: Strong interpersonal skills with the ability to work collaboratively in a team environment.
- Professionalism: High level of professionalism, integrity, and discretion.
