Position Type: Exempt (Full-time). This position requires occasional evening and weekend hours plus travel. 


Reports To: Special Events Director 


Compensation: Approximately $50,000 based on experience. After a probationary period, a benefits package including two weeks of PTO, paid federal holidays, a 401k package with employee match, and health insurance options will be offered. 


Job Summary: 

The Special Events Manager is responsible for leading and supporting special events and projects to provide meaningful opportunities for giving to Friends of the Smokies. The position involves planning and executing complex events by providing critical management of volunteer committees, recruiting and recognizing sponsors, creating auctions and other channels of giving, orchestrating logistics, and other needed tasks. The Special Events Manager will independently lead fundraising events and serve on a team by assisting the Special Events Director and staff across the region. 

 

Key Responsibilities: 

  • Event Logistics: Coordinate event logistics including but not limited to executing contracts, collaborating with staff and volunteers on creative and aesthetic elements, supporting the recruitment and training of volunteers, ordering needed supplies, managing invitation and ticketing processes, and other tasks required to host events. 
  • Committee Management: Support the management of volunteer event committees including scheduling meetings, recording and distributing minutes, building relationships with members, working with members to improve and grow events, and providing appropriate recognition and acknowledgment to committee members. 
  • Sponsor Management: Manage the sponsorship solicitation process of special events annually, coordinating potential requests. Collaborate with team to cohesively identify, solicit and recognize sponsors for special events.
  • Administrative Support: Maintain accurate and organized records related to event planning for the purpose of data entry, accounting, acknowledgments, and other organizational needs. 
  • Communications Support: Provide relevant details, images, logos, and other resources needed to build digital content and printed materials for special events and projects and produce content as needed. 

 

General Requirements: 

  • Associate’s degree – bachelor's degree preferred or equivalent work experience in special events fundraising. 
  • Operates a personal computer to complete essential functions to include the use of word processing, spreadsheet, PowerPoint, donor relation management software, website computer management software for content development, and Microsoft Teams platforms. 
  • Ability to carry out detailed tasks and projects with minimal direction or supervision. 
  • Ability to solve practical problems and deal with a variety of variables. 
  • Ability to work occasional evening and weekend hours plus travel, with adequate notice. 
  • Must possess and maintain a valid driver's license. 
  • May perform other related duties as assigned.

  • Physical Ability: Some tasks require the ability to exert moderate physical effort in work, typically involving some combination of stooping, kneeling, crouching, and which will involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (10 to 40 pounds). Tasks may involve extended periods of time at a keyboard or computer workstation. Tasks may require hiking in a mountainous setting.
