Moonware was founded with the belief that multimodal air transportation will become the prime mover of people and goods during the 21st century. From eVTOLs that will ferry passengers between cities and suburban areas to supersonic aircraft shaving travel time between continents, we are ushering in a new air and space age that will further globalize humanity.


Airports and the hubs uniting these modes of transport will need to evolve to meet this new modern demand for air travel. Despite the current advancements in aircraft technology, the infrastructure and ground processes that will enable these new aerial ecosystems to happen are largely outdated.


We are builders hailing from SpaceX, Tesla, Waymo, Google, Uber, and many others, leveraging years of product development experience in aerospace, automotive, and robotics to revolutionize the airfields of tomorrow.


About the Role


We’re seeking a proactive and detail-oriented Executive Administrator to support our leadership team and ensure smooth office operations. As an Executive Administrator, you’ll be responsible for a hybrid role that combines executive assistant duties with office management tasks, playing a crucial part in the day-to-day efficiency of Moonware.


Responsibilities:

  • Administrative Support: Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Office Management: Oversee daily office operations, including maintaining office supplies, managing correspondence, and ensuring a clean and organized workspace.
  • Communication: Act as a liaison between executives and internal/external stakeholders, handling phone calls, emails, and other forms of communication with professionalism and confidentiality.
  • Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents as needed, ensuring accuracy and attention to detail.
  • Event Coordination: Plan and coordinate company events, meetings, and conferences, including logistics, catering, and accommodations.


Requirements:

  • 5+ years of experience in an executive assistant or office administration role.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to interact effectively with all levels of the organization.
  • Proficiency in office software and tools, including Google Workspace.
  • Detail-oriented and proactive approach to work, with the ability to anticipate needs and take initiative.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Experience coordinating travel arrangements and managing complex schedules.
