Executive Search Program Coordinator

As the Executive Search Program Coordinator, you will play a pivotal role in ensuring the seamless coordination and execution of senior-level candidate interviews within our organization. You will serve as the primary ambassador for both our function and organization, hosting candidates and ensuring they have an exceptional experience throughout their interaction with us. Your responsibilities will include scheduling interviews, conducting tours, and providing personalized support to candidates to ensure they have a positive impression of our company.

Responsibilities:

  • Ambassador for the Function and Organization: Serve as the primary point of contact for candidates, providing them with information about our organization, culture, and values. Act as an ambassador for our function, representing us in a professional and engaging manner.
  • Hosting Candidates: Greet and welcome candidates on the day of their interviews, ensuring they feel comfortable and valued. Provide them with an overview of the interview process and answer any questions they may have.
  • Exceptional Candidate Experience: Ensure that candidates have an exceptional experience from the moment they arrive until they depart. Anticipate their needs and provide personalized support to enhance their experience.
  • Conducting Tours: Lead candidates on tours of our facilities, highlighting key areas of interest and providing insights into our company culture and work environment.
  • Coordination with Internal Teams: Collaborate closely with hiring managers, executive recruiters, and other internal stakeholders to ensure the smooth execution of the interview process.
  • Hyper-Fast-Paced Coordination: Excel in a high-energy, hyper-fast-paced environment by efficiently coordinating executive-level candidate interviews, meetings, and events.
  • Dynamic Culture Engagement: Embrace our dynamic, entrepreneurial, start-up like culture and contribute to its vibrancy by engaging executives and candidates in a personable and highly engaging manner, fostering positive interactions and memorable experiences.
  • Exceptional Candidate Experience: Take ownership of the candidate experience, ensuring that every interaction reflects our commitment to excellence and leaves a lasting positive impression.
  • Executive Engagement: Comfortably engage with executives at all levels, building rapport and trust through your professional demeanor and ability to navigate conversations with ease.
  • Multitasking and Prioritization: Manage multiple priorities and competing demands with grace and efficiency, maintaining a keen attention to detail and a focus on delivering results.

Requirements:

  • 2+ years of prior experience in talent acquisition, program coordination or executive administrative role
  • Exceptional communication and interpersonal skills, with the ability to interact confidently with senior-level candidates and internal stakeholders.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • A positive and proactive attitude, with a passion for providing exceptional customer service.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Familiarity with scheduling software and other tools used for interview coordination is a plus.
  • Manage sensitive material and information
