Job Description

Under the direction of the Manager, responsible for the successful implementation of projects (technologies, products, and processes) from initiating through closing.

This requires the use of all project management processes from the initial definition of the project charter to the development and execution of the project management plan (including scope, time, cost, quality, human resources, communication, risk, and procurement plans), to the structuring and management of project resources,
performance reporting to the appropriate stakeholders, and formally closing out the project and ensuring all documentation is complete.

This position is also responsible for the business analysis processes of business analysis planning and monitoring, requirements management and communication, enterprise analysis, elicitation, requirements analysis, solution assessment and validation, and underlying competencies to ensure the successful management of business process activities.

This position assists in business unit's compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including, but not limited to, those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.

In addition, this position is responsible for
demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors

Responsibilities

Business Partnership
Integrates technical, business and human resource objectives of project stakeholders (project sponsors, resource managers and project team members). Estimates and negotiates project resources and budgets. Performs resource and workload planning. Manages and directs assigned project team(s). Provides leadership, direction and a motivational environment for the team.

Supervises project resources as required for the project, which would include delineating clear roles and responsibilities, working with project resource constraints, performance management for the project, project related training and development.

Manages projects, programs and portfolios.
Fosters positive business partnerships by ensuring technology is appropriately matched
with business requirements.
Supports business units in identifying or developing solutions for issues and opportunities
to include but not limited to business process re-engineering, requirements definition,
and planning & prioritization.
Guides business units through project initiation to include problem identification,
objectives definition, development of Project Charter and approval by Project Sponsor &
concept review by RAC.
Guides business units through project planning to include but not limited to requirements
definition, scope development, activity estimates, resource planning and scheduling,
communication and risk planning, and procurement.,
Partners with IT peers to manage the IT project portfolio.
Seeks to understand the overall corporate strategy and objectives to ensure alignment
with technology projects.
Supports business units in identifying or developing solutions for issues and opportunities
to include but not limited to business process re-engineering, requirements definition,
and planning & prioritization.
Facilitates stakeholders involved in buy vs. build decisions.
Directs efforts and manages projects by communicating project status, schedule
variances, and performing continuous risk assessments.
Works closely with IT leaders to develop and implement roadmaps and plans for specific
IT functional areas. Reviews progress regularly with IT leaders, technical teams and
business partners as necessary.

Leadership

Possesses a proven understanding of project management and business analysis practices and applies project management and business analyst knowledge and skills to all initiatives.

Develops, maintains and monitors the project plan and budget. Ensures compliance with approved project methodology guidelines and business analysis knowledge areas. Mentors and coaches other project managers and project team members and provides feedback.
Directs and motivates the team to achieve management's business objectives while maintaining a positive work environment.

Manages priority projects (Tier 1 & 2) by following the project management process and methodology, consulting with business unit and IT management and performing resource and workload planning to ensure successful outcomes and optimal use of resources.

Assists in developing project management related training and provides appropriate training, mentoring, and coaching to help others develop necessary skills and foster a strong team atmosphere.

Ensures that a high level of staff and business unit satisfaction are maintained.
Ensures that their team complies with all BOH policies including IT Service Excellence.

Works closely with IT teams to assure all systems are in line with long term strategy and industry best practices and trends.

Participates in development, communication, and enforcement of department strategic plans, policies, standards, procedures, and best practices throughout IT.
Seeks methods of improvement, shares information, provides complete, constructive, and actionable feedback to others.
Facilitates sharing and transfer of knowledge throughout IT.
Assists with interviewing and selecting qualified staff for the EPMO.
Coordinates efforts and communicate information and status of issues, projects and other activities.
Researches and recommends new and emerging technology, approaches, and techniques for implementation.
Ensures coordination and collaboration between cross-functional team members.
Seeks feedback on personal performance from project team, peers, managers and business partners.
Leads EPMO efforts such as the weekly Request Management meeting, RAC process improvement committee meetings, and others.
Manages efforts of multi-disciplinary teams assigned to the project. Accountable for the timely completion of all team tasks (technical and operational).

Accountable for ensuring that all project deliverables are completed such as user requirements, project design, development, testing, implementation, process re-engineering, system and user documentation, procedures, and training, issue resolution, and project closing evaluation.

Responsible for managing the definition and implementation of quality standards within the project
Ensures customer satisfaction metrics are established for the project, and understands the interaction and relationship of systems to business operations

Champions the application of quality standards in business and IT processes for a project through training, team facilitation, communication programs and team building activities.

Provides guidance to IT teams on PM methodologies and processes, and educates them on their responsibilities for the purpose of achieving quality deliverables.

Drives technical teams to identify, research, and resolve problems within the project.
Monitors and communicates project progress throughout implementation. Accountable for all project communication. Facilitates communication between all project stakeholders, as necessary.
Accountable for the timely completion of all project related team tasks.
Reports progress and issues at IT Status Meetings and monthly Status to RAC as applicable.

Ensures that adequate testing is performed prior to the implementation of any new technologies or major changes to existing ones for the project.

Ensures end-to-end user tests such as business process and workflow are defined.
Responsible for ensuring the review and sign-off of project documents.
Applies problem solving and facilitation skills to arrive at project decisions acceptable to project stakeholders. Identifies and raises visibility of issues, formulates recommendations, escalates as necessary, gains senior management support and commitment, and resolves. Earns credibility within the organization.
Works closely with team members to determine business requirements for analysis and
design of quality business solutions.
Drives the evaluation and recommendation of new processes, products and vendors.

Leads department or enterprise initiatives in the areas of business process management, request management, risk management, resource management, project management, program management, and portfolio management.

Keeps up-to-date in the area of managing and understanding PM trends
Performs all other miscellaneous responsibilities and duties as assigned.

Qualifications

MINIMUM
Qualifications:

Education:
Bachelor's degree in Computer Science, Information Systems or related from an accredited institution or equivalent work experience

Certifications Desired:
Project Management Professional (PMP) certified by the Project Management Institute (PMI) and/or Certified Business Analysis Professional (CBAP) Certification by the
International Institute of Business Analysis (IIBA).

Experience: Minimum 7 years or experience in project management and/or business process management, preferably in the financial services industry. Experience in supervision of professional staff, functional resources, and project teams on assigned projects. Advanced understanding of the Bank of Hawaii environment and systems. Project, program, portfolio, process reengineering, quality, risk and procurement project management experience required.

Technical Skills:

Demonstrated proficiency and expertise with personal computers in a networked environment and Microsoft applications (Outlook, Word, Excel, Access and PowerPoint) or similar software.

Knowledge of or ability to use Bank software. Skilled in use of various technologies to facilitate communication, financial analysis, and project meetings.

Highly organized and capable of dealing with multiple, complex projects simultaneously that may require restructuring due to shifting demands, unforeseen events and changing priorities.

Ability to work with limited direction from management. Able to work flexible hours including holidays, weekends and evenings as needed or assigned.
