Purpose

The University of Texas at Austin is seeking to hire a Project Specialist within the Planning, Design, and Construction Department. You'll be working for a university that is internationally recognized for its academic programs and research. This role provides critical administrative support for a range of design and construction projects.

Responsibilities
  • Document Management- create, review, route, and file project documents including submittals, requests for information, change orders, and payment applications.
  • Stakeholder Communication - maintain and build positive relationships with clients and stakeholders through prompt, courteous, and accurate communications. Keep internal contact records for project teams, stakeholders, and clients up to date.
  • Project Close-Out - manage and execute timely and accurate project close-out processes, including closing work orders and ensuring deliverables are received and distributed. Address project close-out issues and assist accounting and project teams in reconciling project costs.
  • Meeting Coordination - schedule and attend project-related meetings. Provide detailed meeting minutes to the Project Manager.
Required Qualifications

Bachelor's degree in a related field or equivalent experience. Experience in project administration, preferably in construction or related fields. Excellent organizational and communication skills. Proficiency in MS Office and project management software. Ability to travel from the Austin campus to MSI in Port Aransas 1 to 2 times per month as required.

Preferred Qualifications

Experience in an administrative role supporting project management, especially within a construction or university setting, is highly desirable. Applicants should be proficient with Microsoft Office Suite and familiar with document management systems. Strong communication skills are essential, along with the ability to handle sensitive information with discretion. Candidates must demonstrate excellent organizational and time management skills, attention to detail, and the ability to juggle multiple tasks efficiently. Strong interpersonal skills are required to work effectively both independently and as part of a team and to interact comfortably with a diverse range of people.

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three-year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident.
