Job Summary:

We are seeking a highly organized and detail-oriented Project Accounting Specialist to provide administrative support to our Environmental Project Managers and the general office.

Key Responsibilities:

  • Set up and maintain Environmental projects in our ERP system.
  • Review project/client contracts to ensure compliance with company policies and procedures.
  • Prepare and send monthly billing to clients, including lump sum, time & material, and % of completion basis.
  • Conduct revenue, WIP, and job cost analysis to ensure accurate financial reporting.
  • Provide support in aging A/R collection and Accounts Payable, including receiving, logging, coding, submitting, and tracking vendor invoices.
  • Monitor sub-consultants, including reviewing contract and insurance certificates, to ensure compliance with company policies and procedures.
  • Prepare and archive job opening and change order documentation.
  • Coordinate with new and existing clients and vendors to ensure seamless project execution.
  • Provide project, billing, A/R, and other miscellaneous reports as needed.
  • Work directly with various project managers, administrative personnel, and management to ensure effective communication and project success.

Requirements:

  • Associate degree in Accounting, Finance, or Business Administration preferred.
  • 2+ years of experience in a project billing position, with a strong understanding of billing rate schedules and multipliers.
  • Experience with ERP project-based accounting systems, such as BST, Deltek, Clearview/InFocus, etc.
  • Proficiency in MS Office professional suite, including Excel, Teams, Outlook, and Word.
  • Proficiency in Adobe Acrobat, including PDF edits, comments, forms, and file assembly.
  • Experience in the Engineering or Environmental Consulting industry is a plus.
  • Ability to work effectively in a team environment, with strong communication and organizational skills.
