SUMMARY:

The Director of Financial Aid reports to the Associate Vice President of Enrollment Services (AVPES) to administer various responsibilities and activities that the AVPES initiates or delegates. This person is primarily responsible for executing and overseeing the various policies, procedures, and systems that define the Financial Aid Department. This person interacts primarily with FA Solutions, students, staff, and cooperates with other departments within the college, most importantly (but not exclusively) Student Accounts, Academics, Registrar, and the Business Office.

WORK PERFORMED:

  1. Be aware of current projects and activities for Financial Aid in coordination with AVPES.
  2. Be aware of calendar for Financial Aid events, deadlines and goals.
  3. Assist with interactions with the Dept. of Education COD system, as well as G5 and other government sites, maintaining reconciliation records and interacting with the Pillar College accounting area to track deposits and disbursements alongside vendor FA Solutions.
  4. Oversee completion of annual audits by various federal, state, and independent agencies.
  5. Assist FA Solutions with resolving various reconciliation activities including COD and HESAA, or other agencies as needed.
  6. Review "Pending Charges" in the Anthology Student (AS) to ensure timeliness and accuracy, which includes verifying a) enrollment is accurate and complete, b) charges are calculated correctly, c) charges are dated according to policy and assigned to the proper term.
  7. Make use of the Anthology Student modules, including Student Verification to ensure accurate setup for Financial Aid tables, disbursement schedules, student emails and many other systems-based aspects of Financial Aid operations in accordance with Financial Aid policies and AVPES priorities.
  8. Ensure Financial Aid packaging is accomplished in a timely manner according to department policy and practice.
  9. Create reports, export data from the AS for analysis, formatting and presentation as needed.
  10. Work with AVPES on projects to support the Financial Aid department, as well as special projects.
  11. Help administer federal and state financial aid programs.
  12. Have a strong commitment to student service.
  13. Establish/maintain a filing system (electronic or physical) for all Financial Aid related materials including student files, COD, G5, HESAA and other Financial Aid related activities and agencies.
  14. Be available when required for events that may occur outside of regular business hours.
  15. Coordinate with AVPES regarding staff schedules.
  16. Administer work schedules for Financial Aid Department employees.
  17. Refer personnel issues or problems to AVPES.
  18. Work with AVPES to identify ways to improve performance and compliance in the Financial Aid area, and implement agreed upon changes in policy or practice.
  19. Execute and complete tasks assigned by AVPES in a timely manner.

Requirements

Experience:

  • Member of a team-oriented office staff.
  • Computer skills on MS Office, including Word, Excel, and PowerPoint.
  • Experience with Anthology Student preferred.
  • Proven ability to multi-task in a fast-paced environment.
  • Previous Financial Aid experience in New Jersey.

Education:

  • Bachelor's degree or equivalent.
  • Familiarity with Federal Financial Aid, and the New Jersey Tuition Aid Grant (TAG) program.
  • Familiarity with accounting, banking, reconciliation procedures a plus.

Interpersonal Skills:

  • Excellent communication and organizational skills.
  • Friendly and polite with good phone techniques.
  • Relates well to other people.
  • Ability to follow and manage projects from start to finish.
  • Strong ability to multi-task and set priorities in a team environment.
  • Exercise judgment to plan, prioritize and execute tasks.
  • Able to maintain strict confidentiality regarding matters of the Office.

Working Conditions:

  • Primary office is at 60 Park Place, Newark, NJ; some events at other instructional sites may require attendance.
  • Regular interaction with Pillar College staff and students.

Physical Demands:

80% of time spent sitting at desk using computer and phone; 20% of time standing and walking.

Hours:

Generally Monday through Friday, 40 hours/week. Occasional evening or Saturday participation may be required.
