Position Overview

The Finance team at Columbia Engineering seeks a meticulous and organized professional to support the Senior Manager of Budget and Finance in optimizing the fellowship funding process for graduate students. The selected candidate will be tasked with establishing operational procedures pertinent to graduate financial aid and fellowships. This role involves utilizing reporting tools to monitor and reconcile both institutional and external financial aid awards, as well as assisting in the review and reconciliation of enrollment periods, outside scholarship payments, and other financial aid program awards.

Key Responsibilities

  • (40%) Maintain comprehensive internal and external fellowship intake data from academic departments and PhD candidates to accurately track the total funding packages for graduate students and fellows. Collect funding letters each term and document the funding for each fellow along with necessary support from the School, department, or Principal Investigator.
    • Engage with funding agencies to clarify funding parameters and document these processes for SEAS and the departments.
    • Collaborate with internal departments to compile the list of fellows at the beginning of the year or each term as required. Process tuition, fees, and stipend funding for Dean's office fellows.
    • Serve as a subject matter expert on PhD fellowship funding, assisting academic departments with inquiries regarding funding amounts and processes.
  • (25%) Generate, analyze, and disseminate financial aid and institutional funding reports as needed, contributing to account reconciliation efforts. Reconcile discrepancies in student balances against enrollment periods and collaborate with departments to resolve these issues. Ensure alignment of financial aid with departmental allocations and appropriate funding sources.
  • (15%) Assist in updating budgets for graduate and undergraduate student aid on a quarterly basis or as necessary in the budgeting tool. Review departmental submissions for funding from various sources to ensure alignment with historical and current trends.
  • (15%) Document and establish effective standard operating procedures for institutional aid funding materials. Collaborate with supervisors and SEAS finance leadership to develop tracking templates and tools (spreadsheets/databases/funding guidelines) and maintain a repository of information relevant to the funding process. Provide training support to departmental staff on student funding guidance.
  • (5%) Perform additional tasks, duties, and responsibilities as assigned.

Minimum Qualifications

  • Bachelor's degree and/or equivalent work experience required.
  • A minimum of 2 years of experience is required; excellent interpersonal and communication skills are essential.
  • Must possess strong attention to detail with excellent quantitative and analytical skills.
  • Ability to work independently in a dynamic environment with shifting priorities and multiple responsibilities is required. Strong organizational, interpersonal, oral, and written communication skills are necessary.
  • A positive, forward-thinking, mission-oriented attitude and a sense of humor are essential.
