A day in the life.

As our Office Administrator you will:

  • Answer incoming calls and route to appropriate colleagues
  • Monitor main phone line voicemail and forward messages to appropriate colleagues
  • Greet visitors warmly and make sure they are comfortable as the manager of first impressions
  • Notify colleagues when visitors have arrived
  • Schedule conference rooms
  • Assist with ordering (occasional pick up) and set up of in-house group lunches
  • Assist with clean up after in-house events
  • Assist with set up and clean up after meetings
  • Assist with planning, execution and clean up for office events
  • Coordinate mail flow in and out of office, which includes opening, sorting, and scanning appropriate documents and mail into system and then distributing within the system
  • Monitor and distribute electronically received faxes
  • Receive and distribute all packages
  • Monitor supplies in breakroom and workroom and order, as needed
  • Monitor and restock drinks in conference rooms and guest beverage area, as needed
  • Maintain a tidy breakroom, including loading and unloading dishwasher daily
  • Maintain relationships with building management and vendors providing services and supplies for office
  • Submit monthly expense report for office expenses
  • Assume responsibility for physical appearance of reception area, lobby, breakroom and workroom
  • Handle any other duties assigned by management
  • Work in the office five days a week

  • Associate or Bachelor's degree in a business-related program preferred
  • Excellent organization skills and attention to detail
  • Passion for administrative tasks and exceptional customer service mindset
  • Working knowledge of Microsoft products (Word, Excel, Outlook) or similar software applications
  • Ability to learn navigation in agency management system to facilitate mail processing
  • Ability to multitask and prioritize job duties
  • Firm, fluent grasp of English language with above average verbal, written and interpersonal skills to interact with associates at all levels of responsibility
