Our Bid Coordinator will own the administration of our estimating department and become the right arm to our VP of Estimating in their region. DUTIES & SCOPE:

  • Manage the estimating department with bid documents, proposal development, source and vet vendors and subcontractors during bid and post-award phases
  • Prepares and coordinates the writing of confidential correspondence and/or reports, publications, documents and presentations. Reviews drafts and assists with editing of documents to ensure a high-quality written product
  • Small business liaison - ensures small business requirements are met. Small business subcontracting plan writing, constructing and release solicitations, conduct negotiations and ensure potential subcontractors are financially, technically and legally viable
  • Manages the executive's daily calendar including the planning and scheduling of appointments, meetings, conferences and travel
  • Reviews all mail for the department and monitors all incoming telephone calls
  • Organizes meetings by preparing agendas and creating itineraries; coordinates facility and venue booking, catering, technical requirements, and takes and distributes meeting minutes
  • May perform other related duties as assigned

QUALIFICATIONS:

  • Minimum of 5 years' experience in a senior administrative role
  • Bachelor's degree preferred
  • Excellent written and verbal communication skills with strong attention to detail and accuracy
  • High degree of sensitivity for confidentiality
  • Task-oriented with an excellent sense of priority, logic and objectivity; highly organized and capable of managing multiple priorities
  • Independent and self-motivated with the ability to take the initiative to liaise with other departments and/or external sources
  • Excellent customer service focus with an ability to work collaboratively with others
  • Strong knowledge of MS Office applications, including Word, Excel, Outlook
  • Demonstrated reliability, judgment and professionalism

The starting annual base pay for this role is between USD $65,000 and $75,000. The actual base is dependent upon many factors, such as: location, training, transferable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future. The role may also be eligible for vehicle allowance plan, bonus and benefits.
