POSITION OVERVIEW: The Council Fire Operations & Finance Manager plays a vital role in the company's growth, development, impact, and sustainability by planning, coordinating, and executing several key phases of our business management processes. The Operations & Finance Manager is an important asset to company leadership in implementing foundational business strategies and ensuring major company objectives are communicated, understood, and completed accurately. The Operations & Finance Manager is a highly motivated professional with great communication skills, and a detailed understanding of office management, contracting, financial, and marketing functions, who can carry out office procedures independently and handle various situations and problems with minimal supervision. The Operations & Finance Manager's primary responsibilities include:

Financial Management, Bookkeeping, Budget & Reporting Functions

  • Manages Council Fire's QuickBooks account
  • Coordinates revenue/expense and cash flow management
  • Works with our Accounting team to log, review, and approve accounts payable and receivable items, and ensure timely execution of all accounting-related functions
  • Manages reporting and analysis of Council Fire performance including preparation of an annual budget and scheduling of expenditures to achieve financial objectives

Office Administration & Operational Support

  • Serves as the central office administration resource for staff and ensures efficiency by planning, managing, maintaining, and implementing policies, procedures, and office system platforms
  • Oversees adequacy and soundness of management/operations infrastructure and administration, ensuring all necessary compliance, controls, and structures are implemented and followed
  • Serves as IT lead for implementation of tools such as Google Workspace, Asana, Slack, and others
  • Manages vendor relationships for company operations support
  • Coordinates data management and filings for business certifications and other company initiatives
  • Oversees our Future Leaders and Internship Programs and leads planning for Council Fire events

Human Resources

  • Builds and maintains a top-notch team by assisting with recruiting, selecting, orienting, training, and assessing team member performance
  • Supports the Accounting team on all payroll and 1099 contractor matters
  • Works with external benefits administrator to ensure proper execution

Business Development & Execution Support

  • Supports utilization of marketing tools and helps coordinate marketing initiatives
  • Assists with business development systems (e.g., pipeline, CRM, proposal management)
  • Performs financial and data analysis on business development opportunities
  • Coordinates and interfaces with our Engagement team on billing, project management, and other engagement deliverables and project-related activities as necessary

QUALIFICATIONS: The Manager plays an integral role in implementing best practice policies, procedures, and processes and highlighting areas of organizational improvement to meet the company's mission of providing best-in-class services and solutions at cost-competitive rates. The successful candidate will be resourceful, passionate, and highly motivated by Council Fire's purpose and leadership role in the social enterprise space, a strong collaborator, highly capable of working independently and able to thrive in a remote work company context, and always driven to go the extra mile to enable maximum company and client success. While we work remotely, proximity to the DC-Baltimore metro area for meetings is a plus.

Knowledge, Skills, & Education

  • 5+ years of experience in a similar role with responsibilities for office administration, operational support, financial management, marketing, and related matters
  • Knowledge of, experience in, and motivation for organizational effectiveness and operations management implementing best practices and standards
  • Strong business acumen, possessing understanding and insight into how organizations perform, including business processes, data, systems, and people
  • Ability to help lead, motivate, and foster collaboration within a diverse, experienced consulting team to achieve success with a focus on providing world-class client experiences
  • Excellent oral and written communication skills, problem-solving, judgment, and decision-making skills with demonstrated ability to exercise initiative and be agile, quickly understanding and transitioning between different projects, concepts, initiatives, and work streams
  • Excellent skills and strong proficiency with multiple software platforms and tools including QuickBooks Online, , Gusto, Asana, Slack, Google Workspace, and others
  • Business development skills and experience are a plus
