Position Description

Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions
  • Manages and maintains inventory levels for office supplies, printer/copier materials, student lounge supplies, and both student and faculty textbook inventories.
  • Maintains documentation for department purchasing card and prepares weekly reports.
  • Completes all travel reimbursements for MPAS faculty and staff.
  • Serves as back-up for Section Manager in executing purchasing contracts and budget reconciliations.
  • Maintains the student-facing Sakai class calendar and schedules room reservations through TTUHSC system.
  • Serve as the primary point of contact for the office, professionally answering phones, greeting visitors and students, and providing comprehensive front office coverage.
  • Collaborates with team members to manage the PA program email and e-fax.
  • Distribute mail or open and appropriately direct program mail and packages,
  • Data entry and filing using program data management systems as needed for maintenance of program documentation.
  • Submits maintenance work orders or housekeeping requests, as needed.
  • Type meeting minutes, correspondence, and prepare various reports and documents.
  • Ensure work room, kitchen, storage areas, and all public-facing areas remain neat and organized.
  • Collaborates with team members in the execution of admissions interviews.
  • Participate in all team meetings as required to ensure timely communication related to position duties.
  • Participate in the execution of program special events and activities.
  • Maintains professional knowledge by attending SHP and TTUHSC development activities, huddles, and workshops.
  • Assists the program director and faculty with special projects and reports.
  • Serve as the Unit Safety Officer (training is provided).
  • Other duties as assigned.
Required Qualifications

Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.
