POSITION DUTIES

The\r
main purpose of this position is to supervise the Records Unit which is\r
responsible for the prompt retrieval of Community Supervision agent reports\r
from Offender Case Management System (OCMS) in addition to the efficient\r
storage and maintenance of housing, supervision, warrant, and retention files.\r

Ensures that agent reports are promptly\r
retrieved from Offender Case\r
Management System (OCMS) and processed accordingly. \r
�\r
Ensures\r
that agent is promptly notified of the outcome from the report. \r
�\r
Ensures\r
that agent reports are properly identified based on the specificity (i.e. VPI, Sex\r
Offender, War Room, Watch Center, or General) \r
�\r
Ensures\r
accurate storage of housing, warrant, supervision, and retention files. \r
�\r
Ensures\r
that files are approximately tracked into and out of the Records Unit. \r
�\r
Ensures\r
that the validation list from the Parole Services Unit is processed within 30\r
days of receipt.� \r

Ensures\r
that general file request from any DPSCS employee is addressed within 3\r
business days of receipt \r
�\r
Ensures\r
that parole and mandatory release orders are scanned onto the shared drive\r
and/or filed into the parole file.� \r
�\r
Ensures that death certificates are promptly\r
reviewed by a Commissioner and filed for closure. \r
�\r
Ensures that requests from agents for\r
abatements, special conditions, travel requests, and fee waivers are promptly\r
forwarded to administration for processing \r
�\r
Ensures that a signed copy of the special\r
conditions and fee waivers is placed in file. \r
�\r
Ensures response from Commitment/Release Unit\r
Administrator is received timely in regards to discrepancy of release date\r
compared to what is on Offender Case\r
Management� System� (OCMS)\r
�\r
Ensures\r
that problematic cases are promptly addressed for resolution.�� \r
\r
\r

MINIMUM QUALIFICATIONS

Education:�� Graduation from an accredited high school or possession of a high school equivalency certificate.\r
Experience: Four years of experience performing clerical duties.\r
Notes: \r
1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.\r
2. Applicants may substitute education from an accredited college or university at the rate of thirty semester credit hours for one year of experience on a year-for-year basis for the required experience.\r
3.Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience. \r
4.�Candidates may substitute U.S. Armed Forces military service�experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a�year-for year basis for the required experience.�\r

DESIRED OR PREFERRED QUALIFICATIONS

One-year experience as a supervisor (Conducting Performance\r
Evaluations, Approval of leave, Supervising Staff, etc.)\r
Experience with Workday (Approving leave and time via\r
Workday)\r
Experience with OCMS (Offenders Case Management System)\r
One-year experience utilizing Microsoft Office and Google\r
Suites. \r
