ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Answer and route all incoming calls/greets visitors.
  • Codes and keys inventory and shipping invoices.
  • Enters shipping tickets into computer system.
  • Orders office supplies and miscellaneous purchases.
  • Shreds old A/P invoices and journal entries.
  • Open daily correspondence.
  • Prepare daily UPS shipments.
  • Order lunch/set up for meetings.
  • Back-up Accounts Payable.
  • Maintain safety equipment for visitors.
  • Assist with job applicants.
  • Administrative support to managers (copies, mailing, cleaning, etc.)
  • Reserve hotel accommodations for company employees.
  • Receive, scan, and organize daily equipment inspections.
  • Vendor code all incoming invoices.
  • Post AP to AS400 daily.
  • Review vendor statements to keep accounts current.
  • Match PO's and invoices.
  • Scans invoices to metafile daily.
  • Weekly check PO's with invoices and without invoices.

EDUCATION, SKILLS, AND ABILITIES REQUIRED:

  • College education preferred, but not required.
  • Excellent interpersonal skills
  • Organized and able to meet deadlines
  • Experience with Microsoft Office package.
  • AS 400/Infinium accounting software.
  • Online travel portals such as Expedia, Hertz.
  • Bilingual (English/Spanish) preferred.

PHYSICAL REQUIREMENTS/ ADA ESSENTIAL FUNCTIONS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to sit, stand, walk, kneel, bend, reach, climb stairs, squat, grasp, and twist for extended periods.
  • Must be able to wear personal protective equipment such as steel-toe boots, hard hats, safety glasses, and hearing protection when going into production areas.

WORKING CONDITIONS:
This is an indoor/office work environment.
