About This Position

The Administrative Controller provides administrative support services for Milwaukee county as well as the Midwest region by implementing administrative systems, procedures, and policies, and monitoring administrative projects to ensure effective and efficient operations.

Essential Functions, Duties, and Responsibilities

  • Assist in the review and collection of receivables and payables.
  • Assist in preparation of spreadsheets and weekly/monthly reports.
  • Regular activity reporting to manager.
  • Assist in documenting procedures for local and regional staff.
  • Prepare updates to client list.
  • Weekly email reminders to region (rewards & recognitions).
  • CPI tracking.
  • Contract Organizing and management such as collecting, sending reminders, tracking RFP documents.
  • OPA tracking.
  • Weekly financial flash rollup.
  • ServSafe master list tracking local and region proctors and all salaried employees expirations.
  • TTO statistics and tracking.
  • Maintain region organization chart.
  • Prepare correspondence, minute taking, scan and distribute reports and other documents as required; this could also include reviewing letters and reports, obtaining signatures, conducting research presenting financial reports or general filing. Prepare and submit expenses and procurement requests.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Responsible for site filing systems, and performs all site record keeping functions including but not limited to accuracy and completeness of team member files, records for special events, state and local government paperwork requirements, contracts, etc.
  • Responsible for collecting and analyzing information; consolidates data for financial reporting for the region.
  • Assist with facilitating security clearances throughout the region.
  • Screening phone calls, handle enquiries professionally, and adhere to quality standards. This will require initiative to take follow up action when appropriate.
  • Coordinate activities and reports for the Leadership Team.
  • Other duties as determined by the needs of the business.
What You'll Need
  • High School Diploma, GED or equivalent work experience.
  • At least three (3) years administrative and/or clerical experience.
  • Knowledge of clerical practices and procedures; basic budgeting and reporting.
  • Ability to work independently on projects, multi-task, and also collaborate as a strong team member.
  • Must be a self-motivated team player; flexible with schedule, highly organized, detail oriented, and open to change.
  • May require minimal travel.
  • Advanced PC skills - Microsoft Word, Excel, and Outlook; a willingness to learn other software tools as introduced.
  • Must be able to work in a fast paced and demanding environment.
  • Exceptional organization and time management skills; ability to prioritize.
  • Independent decision-making regarding daily priorities and tasks.
  • Proactive and self-starter; self motivated.
