Essential Duties and Responsibilities:

  • Serves as the administrative assistant for the English Language Training Institute, providing a broad range of general administrative support functions;
  • Serves as the first point of contact for ELTI, providing exemplary customer service and accurate information to current students, prospective students, faculty, staff, and others.
  • Eligible to serve as a Designated School Official (DSO).
  • Provides assistance for specialized and short-term programming offered through the ELTI (OIEE) is also expected of the incumbent.
  • Responds to requests from students/faculty, assisting with appointment schedules/room reservations, communicating with various campus constituencies to ensure smooth office operations.
  • ELTI application processing.
  • Filing and record-keeping, including confidential student information and financial documents Data entry (Banner, Excel, Malibu, Archibus, Google drive, and other applications).
  • Payment processing and reconciliation through various online systems.
  • DSO designation to assist with I-20 generation and immigration data entry through SEVIS
  • ELTI activities support, including Conversation Hour.
  • Developing office standards, documenting office procedures, participating in cross-training for other administrative duties as needed.
  • Support of OIEE programming.

Minimum Experience / Education:

Required Minimum Qualifications:

Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:

Graduation from a four year college or university and one year of related experience; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred Education Skills and Experience:

  • Bachelor's degree and (1) one year of office assistant experience or an equivalent combination of education and related experience.
  • Experience with Microsoft and Google Suite; intermediate experience preferred or ability to gain/increase skill.
  • Experience or knowledge of FERPA regulations preferred.
  • Experience working in Higher Education with students, administrative staff, faculty and stakeholders.
  • Ability to serve as a Designated School Official.
  • Experience with Banner and University systems preferred.
  • Verbal and written communication skills needed.
  • Strong attention to details needed.
