Primary functions require sufficient physical ability and mobility to work in an office setting; to sit for prolonged periods of time; to occasionally stand, stoop, bend, kneel, crouch, reach, and twist; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other locations, as needed, using various modes of private or commercial transportation; and to verbally communicate to exchange information.

Essential Duties and Responsibilities

  • Collect and track payable invoices.
  • Verify and obtain proper authorization of invoices.
  • Match requisitions & purchase orders to invoices.
  • Code invoices to proper accounts and projects.
  • Use Excel pivot tables and summaries to validate information.
  • Enter and import invoices into accounting software so that they can be paid.
  • Store invoices electronically according to procedures.
  • Track and follow-up on any outstanding checks.
  • Update vendor information in accounting systems and follow-up as needed.
  • Perform account reconciliations and analysis monthly as needed.
  • Create and process general ledger journal entries as needed.
  • Track time worked and tasks performed.
  • Perform other tasks as assigned by the Accounting Manager

Knowledge, Experience, Skills, EducationKnowledge of:

  • Intermediate to Advanced Knowledge of Microsoft Office (Excel and Word), Internet, E-Mail
  • Standard office skills & abilities as relate to use of telephone, copier, fax machine, etc.

and interoffice and out of office communicationsExperience in:

  • Handling telephone and Email inquiries relative to internal and external customer service issues
  • Handling multiple projects simultaneously
  • 1-2 years relevant experience preferred but not requiredOther Knowledge, Skills, Abilities
  • Interpersonal communications skills

  • Time management skills
