Role Description

The Quality Specialist will report to the Director of Quality Management for Zoetis Reference Laboratories (ZRL) and will manage the Document Control and Non-conforming Event (NCE) Management Systems as well as serving as a subject matter expert in quality systems and assisting with other Quality Management Department initiatives. ZRL uses an electronic Quality Management System software called MediaLab. Oversight of the document control system and taking and triaging of NCE tickets will comprise the majority of the day-to-day duties. This position is also responsible for training staff and compiling/analyzing document control and non-conforming event management metrics. The Quality Specialist is an integral part of the Quality Management Team. It will interact directly with the Director of Quality Management, the Medical and Operations Leadership Teams, other quality colleagues, lab managers, and front-line staff. The Quality Specialist will also serve as a member of the quality assessment team, performing internal audits for the ZRL labs nationally and participating in key QI projects. This hybrid position is based in either the Dallas, TX, or Mukilteo, WA, metro areas. This position will be 50% onsite and 50% remote.

POSITION RESPONSIBILITIES

Serve as a quality management system software (MediaLab) manager and subject matter expert. Set up new users and provide system orientation and maintenance.

Work with technical subject matter experts to coordinate document control system activities for all locations across the laboratory network, including document master log, new document creation, revisions, approval workflows, periodic reviews, hard copy control, and archiving.

Intake, triage, and escalate tickets for the Non-conforming Event Management program. Assign tickets to investigation leads, categorize tickets, produce weekly status reports, and escalate to management as necessary. Critical thinking skills, effective time management, and prioritization are critical for these tasks.

Compile and analyze metric reports to distribute across the network to create visibility for document control and NCE program status-compilation and analysis of other key quality metrics as assigned.

Training staff on document control, NCE software, and philosophies and processes. Serve as subject matter expert to answer questions and work on cross-functional project teams.

Work with departments across ZRL to coordinate the compilation and distribution of the weekly ZRL bulletin. Filter content submitted to prioritize the most critical business communications in a concise and easy-to-digest manner.

Work on Quality Improvement projects and other duties as assigned.

Perform onsite assessments of ZRL laboratories. Serve as internal auditor and quality systems subject matter expert on assessments.

EDUCATION AND EXPERIENCE

Minimum Requirements:
  • Requires a bachelor's degree in science or related discipline.
  • One to five years of experience in quality assurance-related roles, as well as experience in project management and change management.
Preferred Experience:
  • At least two years on the bench in a veterinary or clinical laboratory. Understanding of most service lines and departments the ZRL network offers, including chemistry, hematology, histology, microbiology, parasitology, urinalysis, and cytology.
  • Previous experience in Quality Management.
  • Experience with Non-conforming Event Management and/or Document Control.
  • MLS/MT/MLS/CLS and/or Relevant ASQ Certification
TECHNICAL SKILLS REQUIREMENTS

This is a dynamic role focused on quality systems facilitation and management.

  • Proficient in using the Microsoft Office suite, including Excel, Outlook, Word, and PowerPoint.
  • Ability to apply established organizational policies to make decisions with minimal supervision.

  • Ability to work within a team and as an individual contributor in a fast-paced, demanding, and changing environment.
  • Candidate must possess flexibility to respond to constantly changing conditions and priorities.
  • Self-directed - can work remotely with little supervision on most tasks.
  • Excellent organization, prioritization, and time management skills - can work effectively under pressure.
  • (Preferred) Advanced skills utilizing Excel, Power BI, and/or other software to generate and analyze reports about metrics, raw data, and other role-related tasks.
PHYSICAL POSITION REQUIREMENTS

Able to work hours on a computer and tolerate computer screens.

Ability to travel nationally up to 5%.

Some irregular hours during site visits.

Site visits also include standing and/or walking for extended periods.

Able to lift to 50lbs.
