Overview

The Leave Coordinator will be responsible for processing the leave of absences for nonunion employees, monitoring the third party determination of FMLA eligibility, responding to escalation and data requests and sending out reports and updates regarding the status of employee's leave of absence requests to location contacts. This position is also responsible for reconciliation of any benefit deductions related to employees on leave as needed, and coordination of leave pay due to employees with payroll. This position will serve as a liaison between the employees, vendor and location management to manage the coordination of employee work restrictions and accommodations.

This role pays a hourly wage of $29.81 to $36.06.

Benefits for FT roles: Benefits: Health, Dental and Vision insurance, 401(k) savings plan, 401(k) matching, and paid time off (vacation days, sick days, and 12 holidays).

This position will remain open until Oct 31, 2024

Responsibilities

  • Manage and track LOA process manually and with outside administrator for non-union population including company, personal, state and federal leaves.
  • Collaborates between employee management, Benefits and Payroll as needed
  • Processes benefit payments calculated by outside administrator, and coordinates leave payments with state leave entitlements to ensure accurate payment of leave benefits.
  • Will partner with location management to determine if work restrictions can be accommodated with consideration and review of the employee's job description
  • Act as point person for employees with inquiries about Leave of Absences and engages in the interactive process with employee if necessary.
  • Documents internal workflow processes and updates as needed
  • Analyzes leave activity and processes for anomalies and recommends corrective action to Benefits Management as needed
  • Assist in documentation requests from Legal Department as needed
  • Processes employment verification and benefits coordination requests as needed relating to LOA employees.
  • Educate location managers on leave processes and navigation and provide leave documentation and history to support employment actions as needed.
  • Proactively manage HR systems in order to ensure data integrity. Leverage ADP for reporting and streamlining of HR processes (LOA tracking). Partner with HRIS on resolving ADP or Paylocity issues.
  • Provide back-up coverage and support for HR team and additional areas as needed
  • Perform other duties as assigned

Qualifications

  • Minimum 1 year of Human Resources experience or related field
  • Minimum 1 year experience with state and federal FMLA regulations, ADA, and Worker's Compensation
  • Experience in development of process documentation and Standard Operating Procedure updates
  • Minimum 1 year experience with medical disability management and working with third party leave management
  • Professional and personable with the ability to exercise sound judgment when dealing with sensitive and confidential matters
  • Demonstrated ability to drive HR processes and to deliver high quality HR services
  • Experience in both non-union and union/represented environments in retail or hospitality industry preferred
  • Flexibility and adaptability in a fast-paced, constantly changing environment
  • Ability to prioritize effectively, think independently and problem solve to ensure all projects are completed in an effective and timely manner
  • Ability to work with others and collaborate across the organization to achieve goals
  • Strong organization skills, detail oriented, and ability to handle multiple tasks and assignments
  • Excellent verbal and written communication
  • ADP or HRIS experience preferred
  • Highly proficient with Microsoft Office (Outlook, Excel, PowerPoint, Word)
  • Can easily multi task and manage multiple projects
