Event Management Coordinator

We are seeking a highly motivated, detail-oriented professional to join our team as an event management coordinator. As a member of the firm's strategy team, the candidate will provide a wide range of support in the planning, coordination, and execution of various strategic events and projects.
The ideal candidate must have strong organizational skills, a keen attention to detail, strong customer service skills, and be comfortable balancing multiple priorities, often under a tight timeframe. This is a full-time position based in Baton Rouge, Louisiana, and requires a moderate amount of travel.
Key responsibilities include but are not limited to the following:

• Assist in the development and implementation of event plans and timelines, coordinating with vendors, suppliers, and venues to ensure all logistical requirements
• Assist in the creation and distribution of event materials, including invitations, agendas, and promotional materials
• Manage attendee lists, RSVPs, and registration processes
• Develop a robust database of event venues and vendors
• Set up and execute details for meetings and events, maintaining updated project plans and highlighting milestones
• Support project managers in tracking project progress; updating project plans; and preparing project reports, presentations, and documentation
• Coordinate project meetings, including scheduling, agenda preparation, and note-taking
• Monitor project budgets and expenses, review invoices, and ensure compliance with financial guidelines
• Manage various email inboxes and distribute event-related communications through email updates and newsletters
• Facilitate effective communication between the event team, stakeholders, and vendors
• Assist with travel logistics and on-site support, including booking travel and coordinating logistics for event staff, assisting with event setup, registration, cleanup, and logistics (i.e. A/V equipment, signage, etc.)
• Assist in event feedback processes, including collecting and analyzing feedback and preparing post-event reports
• Manage meeting coordination, logistics, and spaces and assist with meeting room setup, catering, and logistics for both in-house and off-site meetings and events
• Support various business and operational needs and provide additional support to team members and clients as needed
• Perform other duties as assigned

Qualifications

Requirements for this position include the following:

• Bachelor's degree in event management, business administration, public relations, or a related field
• Experience in event planning and coordination
• Excellent organizational and multitasking skills, with an exceptional attention to detail
• Strong communication and interpersonal skills
• Strong customer service skills with the ability to communicate with clients
• Ability to multitask and support multiple priorities at once
• Effective time management and organizational skills with a keen attention to detail
• Positive attitude and a dedication to client and customer service
• Proficiency in Microsoft Office applications, particularly Microsoft Excel
• Flexibility to work evenings and weekends as required by events
• Ability to work in-office or on-site for events, including traveling to various event sites as needed
• Physical ability to lift and move heavy objects during event setup
