OFFICE MANAGER | ACCOUNTS PAYABLE SPECIALIST 


The Office Manager / Accounts Payable Specialist handles the main functions of managing the office & design studio spaces, weekly Accounts Payable activities, trade insurance requirements, and other operational responsibilities.  

 

OFFICE MANAGER RESPONSIBILITIES

  • Overall office presentation
  • Office supplies stocked / re-ordered.
  • Maintains break room, conference room, restroom and supplies as necessary.
  • Manages services / contracts (janitorial, printers, landlord, etc.)
  •  Processes mail daily.
  • Coordinates in-office lunches (team meetings, company meetings, etc.)
  • Coordinates office functions and plan/book team outings.  
  • Assists in other capacities as needed related to other departments. 


ACCOUNTS PAYABLE SPECIALIST

  • Manages weekly PO payment processes (utilizing BuilderTrend exported reports)
  • Keys POs into Quickbooks for payment.
  • Processes all non-construction/ Overhead invoices (utilities, etc.) 
  • Handles mailing of all weekly approved payments.
  • Maintains/manages Certificates of Insurance for all trades.
  • Sets up new Trade partners / vendors in related systems.
  • Runs weekly reports for active jobs / variance reports.
  • Maintains and tracks professional licenses, business licenses, and certifications. 
  • Assists in other capacities as needed related to other departments.  


REQUIRED EDUCATION / EXPERIENCE

  • Bachelor’s Degree or 5 years of relevant experience in Accounts Payable 
  • QuickBooks experience 3+ years
  • BuilderTrend experience a plus


QUALIFICATIONS & SKILLS REQUIRED

  • Ability to multi-task and manage multiple projects as needed, with high level to detail.
  • Self-motivated, works well without supervision.
  • Willing to establish and maintain effective internal and external working relationships.
  • Ability to set priorities and meet various deadlines.
  • MS Office proficient with emphasis on Excel. 
  • Residential Construction experience a plus with the knowledge of Job Cost.
