Job Description: Document Control Specialist

Position Overview: The Document Control Specialist will oversee and manage the control, distribution, and storage of all project-related documentation in the oil and gas sector. This includes engineering drawings, project plans, contracts, and technical documents. The specialist will ensure that all documents are properly indexed, filed, and accessible to authorized personnel.


Key Responsibilities:

  • Document Management: Receive, catalog, and store all incoming and outgoing project documentation, including drawings, specifications, contracts, and reports.
  • Document Control: Implement and maintain document control processes and procedures for efficient management and record-keeping of all project documents.
  • Quality Assurance: Ensure all documents meet project requirements and adhere to company standards and regulatory guidelines.
  • Distribution: Distribute documents to relevant stakeholders, ensuring timely and secure access.
  • Version Control: Track and manage document versions to ensure that only the latest versions are being used and that previous versions are archived correctly.
  • Audit Preparation: Assist in the preparation for audits by maintaining accurate records and providing access to necessary documentation.
  • Collaboration: Work closely with project teams, engineers, and contractors to ensure seamless communication and document exchange.
  • Training: Train and support staff on document control procedures and the use of document management systems.
  • Reporting: Generate reports on document control activities, including document status, distribution logs, and compliance metrics.
  • Compliance: Ensure compliance with industry regulations, client requirements, and internal policies regarding document handling and control.

Qualifications:

  • Bachelor’s degree in a relevant field (e.g., Engineering, Business Administration) or equivalent experience.
  • 10+ years of experience in document control, preferably in the oil and gas industry.
  • Proficiency in document management systems (DMS) and software like SharePoint, Aconex, or Documentum.
  • Strong understanding of industry-specific documentation standards and regulatory requirements.
