Executive Assistant and Office Manager

We are seeking a highly organized, energetic and proactive Executive Assistant to support our venture capital firm's senior leadership team, including two of our founding Managing Partners. Our firm operates with a fast-paced and start-up mentality, making this role essential for driving efficiency and effectiveness in our operations. The ideal candidate will be adept at managing multiple priorities at once, possess excellent communication skills, be highly adept at calendaring, and thrive in a dynamic environment. We are predominantly an in-office culture expect the EA to be based in the office with some flexibility as needed.
Key Responsibilities:
Scheduling Support
- Manage complex and dynamic calendars for the Managing Partners.
- Coordinate internal and external meetings, including video conferences and in-person meetings.
- Prioritize and manage meeting requests, ensuring efficient use of executives' time.
- Be adept at the art of calendaring and optimize our GPs’ calendars on a daily basis.
Travel Arrangements
- Book domestic and international travel, including flights, hotels, and ground transportation. - Manage travel expenses and submit expense reports.
- Anticipate and resolve potential travel issues proactively.
Office Management
- Oversee day-to-day office operations and maintain a professional work environment.
- Manage office supplies inventory and place orders as needed.
- Assist in organizing company events and team-building activities.
- Greet guests and coordinate in-office meetings.
- Hire and supervise additional members of the support team including remote EAs and office assistant/receptionist.
Qualifications
- Bachelor's degree in Business Administration or a related field.
- 5+ years of experience as an Executive Assistant, preferably in finance or venture capital.
- Exceptional organizational and time management skills.
- Proficiency in Google Workspace and other business software like Slack and Notion
- Strong written and verbal communication skills.
- Ability to work independently and make decisions with minimal supervision.
- Discretion and confidentiality in handling sensitive information.
- The ideal candidate will be a self-starter with a positive attitude, able to anticipate needs and take initiative in a fast-paced, start-up environment. This role offers an excellent opportunity to get in early and help the founders and senior team build a brand-new venture capital firm.
