Our client, a well-known entertainment company, is looking for an Event and Team Coordinator to join their team for a 2 year contract This role will work onsite Monday through Thursday and Friday remote.
Responsibilities:
- Plan, organize and manage events with internal and external partners. Including but not limited to: securing event space, vendors, sending executive-level invites and monitoring RSVPs, communication with event guests, research, updating distribution lists, collecting copy, and overseeing approvals for all event graphics, etc.
- Collaborate with peer teams to ensure seamless execution of events, including logistics, speaker coordination, content development, and attendee experience
- First point of contact for all events productions
- Management of budget for annual events
- Provide comprehensive coordination and administrative services for the team, including:
- Manage and coordinate internal meetings, and external meetings with key stakeholders such as Studio Executives and Innovation Partners
- Create agenda and take notes for weekly meetings, capturing team feedback, and monitoring action items and completion of tasks
- Help manage meeting organization and coordination of cadence of Partner Meetings with the Business Development team
- Organize and execute purchasing via internal PO and expense system, encompassing new hardware, lab supplies, and craft service including accurate and timely tracking of all ETAs for deliveries and managing ongoing expenses and budget for recurring items.
- Timely and efficient ordering of equipment/software related to all initiatives
- Manage email account, interfacing with all levels of the company
- Manage calendaring, including interfacing with high-level executives and working with Snr Manager, Portfolio & Spaces for any competing priorities, and gauging co-utilization of the site as well as communicate the daily schedule to the team to ensure all appointments are appropriately staffed
- Manage team travel, and travel-related documentation and cataloging
Required Qualifications:
- Bachelor's degree in a related field
- 2+ years of related experience
- Proficient in Keynote, Airtable, Excel, Google Workspace, MS-Office, Adobe or Photoshop
- Excellent communication skills, both written and verbal
- Ability to succeed in a fast-paced work environment with competing deadlines
