The ideal candidate will have a strong background in administrative support, office management, and board relations, combined with a passion for working in a fast-paced, collaborative environment. This is a full-time, on-site position based in NYC with an onsite work schedule.


Roles and Responsibilities

Executive Support

  • Provide comprehensive administrative support, including calendar management, travel arrangements, and meeting coordination.
  • Act as the first point of contact for internal and external inquiries, responding on behalf of the executive when appropriate.
  • Prepare and organize materials for meetings, presentations, and events.
  • Draft correspondence, reports, and other documents as needed.
  • Liaise with staff, board members, and external stakeholders to ensure effective communication and collaboration.

Office Management

  • Oversee daily office operations and manage vendor relationships.
  • Develop and implement office procedures to improve efficiency.
  • Handle budgeting, invoicing, and expense reports for the executive office.
  • Manage filing systems and ensure compliance with records-retention policies.

Operations Support

  • Contribute to initiatives, including events, proposals, and reports.
  • Take minutes for senior management and staff meetings.
  • Assist with special projects and organizational initiatives as needed.


Qualifications

  • 5+ years of experience in an executive assistant or board relations role, ideally in a fast-paced environment.
  • Strong organizational and multitasking skills with the ability to manage multiple priorities independently.
  • Excellent interpersonal skills, diplomacy, and discretion.
  • Proficiency in Microsoft Office and familiarity with project management tools.
  • Experience with nonprofit organizations or cultural institutions preferred.
