Primary Role:
The Office Administrator will report to the Operations Manager and support the finance and other departments in an administrative capacity.
Key Responsibilities:
- Matching of vendor invoices and packing slips to PO’s
- Daily invoicing of shipments
- Support Collections staff
- Complete PO receiving
- Reconcile accounts
- Support procurement team on PO creation, changes, and vendor follow up
- Support AP Admin with invoice approvals
- Ensure AP vendor files are maintained and filed correctly
- Assist in client payment processing / daily deposits
- Responsible for office supplies
- Handle incoming and outgoing mail
- Monitor Accounting email account
- Assist with coffee supplier and supplies
Other Duties Include:
- Complete weekly cash reporting to Controller
- Generate and distribute Late PO Reports
- Assist with miscellaneous month-end tasks as required
- Assist with miscellaneous year-end and audit related tasks as required
- Provide back-up for other members of team to cover for vacations and sickness as required
- Other duties as requested by management
QUALIFICATION REQUIREMENTS
Education/Experience:
- Post-secondary education/training preferred in Administration related fields
- Office Admin work experience
- Database background is an asset
- ERP experience is an asset

- Phone system knowledge
- Strong MS Office skills (Outlook, PPT, Excel, Word)
