Summary

The Administrative Assistant is responsible for directing communications between colleagues and customers, organizing schedules and events, creating various reports and data sets, and supporting the daily functions of the office in Lake Forest. This person is efficient, detail oriented and skilled in developing and maintaining workplace and customer relationships.


Essential Duties and Responsibilities

• Provides administrative support to ensure efficient office operations.

• Answers phone calls and directs callers to appropriate personnel, schedules appointments, and assists clients and other visitors.

• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.

• Ensures that deadlines are met and adapts to changing priorities.

• Order, organize and maintain inventory of Handtmann brand swag: including giveaways, apparel, and custom logo embroidery to maintain and elevate our brand recognition.

• Coordinate travel, hotel, transportation and food for customers and colleagues.

• Ordering new office supplies and supporting any office administrative tasks as needed.

• Greet visitors and answer phones for backup as needed.

• Coordinates logistics for meetings, including room setup and catering.

• Works closely with other administrative staff and supports other colleagues as needed.

• Plan food and venues for customer training, events, annual parties.
