Responsibilities:

  • Collect mail from the designated mailroom or mailbox.
  • Sort incoming mail based on recipients or departments.
  • Open envelopes and carefully examine the contents of each piece of mail.
  • Utilize the designated scanning equipment to digitize the contents of each piece of mail.
  • Ensure that each scanned document is of high quality and legible.
  • Save the scanned documents in a designated digital folder or document management system.
  • Assign appropriate and descriptive file names to scanned documents for easy identification.
  • Adhere to strict confidentiality guidelines when handling sensitive or private information.
  • Email or upload the scanned documents to the designated recipients in a timely manner.
  • Address any returned mail, update recipient information as needed, and resend if necessary.
  • Keep records of scanned mail, including dates, recipients, and any relevant notes. Report any discrepancies or issues to the appropriate personnel.
  • Assist with additional administrative tasks as needed, such as filing, data entry, or other duties.
  • Follow established security protocols to protect sensitive information during the scanning and transmission process.
