Our downtown Dallas client is looking to identify a highly organized and detail-oriented individual to join our team as an Accounting Specialist. 

In this role, you'll provide exceptional support to the team by handling a variety of administrative and accounting tasks, ensuring the smooth operation of the office. 

This role requires prior knowledge of Intacct Accounting Software.

Your Responsibilities:

  • Phone & Reception: Manage our multi-line phone system, answer calls professionally, and direct inquiries to the appropriate personnel. Greet visitors, understand their needs, and announce them accordingly.
  • Mail & Shipping: Handle daily mail and postal runs, sort and distribute incoming mail, prepare and dispatch outgoing mail, manage postage, and ensure efficient mail processing.
  • Filing & Records Management: Maintain accurate and organized filing systems for accounting documents, quotes, and literature. Effectively search, update, and manage file information.
  • Accounts Payable: Process vendor invoices, verify billing accuracy, and ensure receipt of ordered items. Work with purchase orders, shipping documents, and freight bills to identify and resolve discrepancies. Prepare and manage invoices, checks, and related correspondence. Liaise with vendors regarding billing or shipment issues.
  • Administrative Support: Provide general clerical assistance, photocopy documents, and utilize word processing software for document creation, editing, and storage. Compose routine correspondence as needed.
  • Inventory Management: Order, receive, and manage office supplies to maintain adequate stock levels.
  • Travel & Logistics: Research travel options and make arrangements for flights and car rentals.
  • Marketing & Sales Support: Assist with catalog creation, ordering and maintaining sales literature inventory, and direct mail production.
