TITLE OF POSITION: Administrative Assistant
Purpose: The Administrative Assistant helps the church function by acting as an Administrative Assistant to the Pastor, Church Leadership, and other staff by maintaining the church office under the supervision of the Pastor. The administrative assistant serves as a liaison between the church staff, its members and the community.
Time: 10 Hours weekly, Monday and Wednesday 9am-2pm
Pay: Based on experience
Skills and Responsibilities:
- Offer a compassionate, welcoming presence to all of our guests
- Strong Interpersonal skills; experience working with cross-functional teams.
- Maintains Pastor’s calendar and the church calendar
- Answer phone, distribute messages and respond to voicemail and emails in a timely manner
- Maintain Breeze Church Management Software
- Assist with digital and printed communications: weekly newsletter, Facebook and Instagram, annual report, quarterly and annual financial statements, acknowledgment of donation letters
- Communicates events and announcements to church web designers to ensure the church website is updated.
- Prepare the weekly and special services bulletin – format, proof, print and collate.
- Support all aspects of our church services, as directed by the Pastor and Deacons.
- Create and prepare mass mailings as needed.
- Coordinates with the Building and Grounds committee access to the building for all renters and organizations using the building.
- Other administrative duties as assigned
Facebook and Instagram:
- create and share posts relevant to the mission of CCEH
- create and share events happening at CCEH
- Link the weekly MAILCHIMP newsletter email to our social media
- Link our YOUTUBE channel to our social media accounts
MAILCHIMP:
- ability to format and create various templates
- ability to link CCEH’s YOUTUBE channel into our newsletters
Google Docs and Google Drive:
- Ability to upload documents to Google drive
- Organize and maintain committee minutes and church documents on Google Drive
- Ability to share documents on using the Google Drive
- Ability to maintain and monitor our YOUTUBE Channel that is managed through CCEH’s Google drive.
- Ability to link CCEH’s Google drive calendar to MAILCHIMP and Breeze ChMS
Microsoft:
- Knowledge of how to create Word, Powerpoint, and Excel spreadsheets with MS Office 365.
- Upload and share on Google drive.
The person in this position will excel at being able to multitask and maintain focus in an environment with lots of people coming and going. The person in this role will be proficient with MS Office 365, Google Docs, Social Media, Canva or other basic marketing tools, and experience with Breeze Church Management Systems is a plus.
Beyond these basic requirements, we are looking for a team player with good communication skills, who can get behind our mission of serving all members of our community equitably.
