CWEA empowers, educates, and connects wastewater professionals as they protect California’s most critical resource: clean water. Our community of 10,500 members represent all facets of wastewater management and resource recovery, from operators to lab techs to engineers. We are one of the State's largest associations for water professionals.


POSITION SUMMARY

The Marketing Coordinator plays a key role in developing and implementing successful outreach for CWEA’s local section events, conferences, and training workshops. The position works closely with CWEA team members in a fast-paced environment to respond to requests for marketing assistance. Strong communication and teamwork skills are essential as this individual works directly with volunteer leaders from CWEA’s Committees and Local Sections to provide them with timely and effective marketing tactics and implementation. Key skills include project management, time management, graphic design, writing, digital marketing, website management, and vendor relations.

 

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES


Event Marketing

·      Provide timely administration and implementation of event marketing plans, coordinate with internal teams, track progress and milestones, and share updates

·      Write, design and schedule marketing elements, such as flyers, social media posts, videos and promotional emails, in compliance with CWEA brand guidelines and in collaboration with appropriate stakeholders

·      Coordinate orders for conference promotional materials

·      Support meeting and conference organizers with marketing support, including onsite agendas, PowerPoint templates, signage, and working with photographers, designers, printers and other contractors to ensure a successful event

·      Write follow-up event news stories, social media posts, and emails as assigned

·      Track multiple events, tasks, and deadlines simultaneously using project management software

·      Attend event planning meetings and provide concise updates


Website Management

·      Monitor and maintain CWEA’s 17 local section websites and provide training and support for local section volunteer leaders

·      Develop standard operating procedures, how-to guides, and short demo videos to help local section volunteers understand how to manage CWEA systems and procedures

·      Curate CWEA’s collection of photos and artwork by seeking out compelling wastewater visuals and member photos, obtaining copyright clearance, and properly filing and tagging images in the appropriate databases

·      Write and post local section news and announcements on the website

·      Work with website vendors to track and resolve help requests in a timely manner


Committee, Local Section, and Volunteer Engagement and Support

·      Respond to requests for assistance from CWEA volunteer leaders, and work with the appropriate internal team to provide support

·      Update and maintain the Leader Resources portion of CWEA’s website and prepare and send the monthly Leader Link email update

·      Assist committee leaders with scheduling meetings, setting up and using Zoom accounts, and providing guidance on resources that are available

·      Coordinate the local section and committee award programs, including sending updates, managing plaque orders, and tracking plaque shipments


General Administration

·      Record progress on the marketing team’s KPIs and assigned data analytics

·      Process invoices by routing them for approval, entering them into budgets and tracking logs, and submitting properly coded invoices to the Accounting Team

·      Proofread items to assist co-workers and work with team members to have all work proofread

·      Attend meetings, take minutes, and share updates

·      Pack, ship, and move large marketing crates and boxes for use at conferences and meetings

·      Answer emails and phone calls in a timely and courteous manner

 

This position requires punctuality and regular and reliable attendance, including at CWEA events and functions. This position is required to perform other duties as directed, developed, or assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

·      Knowledge of marketing research, planning, and tactics

·      Knowledge of digital marketing tactics and trends

·      Familiarity with website development and strategy is preferred

·      Ability to work in a fast paced, team environment, while meeting deadlines

·      Critical reasoning skills

·      Newswriting skills are preferred

 

EDUCATION, CERTIFICATIONS, AND LICENSES

·      Bachelor’s degree in marketing, communications, or a related field, or three or more years of experience working in a marketing role

·      Digital marketing, social media, public relations, or website certifications are desirable

EXPERIENCE 

·      At least two years of experience working in a professional setting with responsibilities reflecting the knowledge, skills and abilities shown above


SOFTWARE AND TECHNOLOGY

·      Basic Microsoft Office Suite

·      Basic skills with Adobe Creative Cloud, in particular, skills within InDesign and Photoshop

·      Mass email management system (e.g. Mailchimp, etc.)

·      Basic video production and editing (e.g. Adobe Premier, Final Cut, Canva, etc.)

 

PHYSICAL DEMANDS, WORK ENVIRONMENT, AND TRAVEL

The physical demands of the position are:

·      Stand and walk or sit alternatively depending on specific needs of day. Estimate 20% of time is spent on feet and 80% sitting at desk

·      Have occasional need to perform the following physical activities: bending/stooping/squatting, climbing stairs, pushing, pulling, twisting, lifting and reaching above shoulders

·      Have occasional need to perform standing and walking activities

·      Constant need to perform the following physical activities: writing/typing, grasping/turning, finger dexterity

·      Lifting/carrying up to 10 pounds frequently and up to 50 pounds occasionally 

·      Vision requirements: constant need to complete forms, read reports, view computer screen. Frequent need to see small details. Frequent need to see things clearly beyond arm's reach

·      Hearing requirements: constant need to communicate over telephone and in person

This position will require occasional travel, including overnight travel for the Annual Conference up to 4-5 nights at a time. CWEA expects this position to travel approximately 3-4 times per year for work purposes.

This is a full-time, nonexempt, at-will position. The rate of pay is $29.93 per hour, which equals an annualized salary of $62,254. The compensation is non-negotiable, aligning with our internal equity and compensation principles and policies. Once employed with CWEA, there is potential for salary growth and merit-based bonuses.
