Job Description:

We are seeking a highly organized and experienced Administrative Assistant to join our clients team. The ideal candidate will have 3-7 years of administrative experience, be tech-savvy, and possess excellent communication and organizational skills. The position is onsite five days a week in the Northbrook, IL office.


Responsibilities:

  • Assist staff with administrative tasks as needed.
  • Foster a positive and collaborative work environment.
  • Answer and direct incoming phone calls in a friendly and professional manner.
  • Sort and distribute incoming mail.
  • Prepare mailings, UPS, FedEx, and messenger packages.
  • Visit the post office, FedEx, or UPS facilities as needed.
  • Finalize letters/notices and draft engagement letters as requested.
  • Scan client documents and monthly statements.
  • Create client codes and locators.
  • Update accounts in the practice management program.
  • Prepare, print, and collate tax organizers.
  • Client Data Processing
  • Organize and process incoming client data.
  • Create binders for efficient document management.
  • Assemble paper and electronic tax returns (individual, trust, entities, gift tax, estate tax) using SafeSend.
  • Coordinate and prepare batch filing, ensuring compliance with monthly and deadline requirements.
  • Record chargeable client expenses.
  • Attend firm committee meetings and record meeting minutes.
  • Coordinate services to maintain the office as directed by the office managing partner.


Qualifications:

  • 3-7 years of administrative experience.
  • Tech-savvy, with proficiency in Outlook, Teams, and Excel.
  • Excellent organizational and communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Detail-oriented and capable of managing multiple tasks simultaneously.
