About the Role

We are seeking a highly organized and professional Office Assistant to join our team at our Northbrook, IL office. As a key member of our support staff, you will be responsible for providing exceptional customer service and administrative support to ensure the smooth operation of our office.

Key Responsibilities:
  • Greet visitors, guests, and contractors upon arrival, ensuring they sign in and are assigned a badge.
  • Announce visitor arrivals to employees and ensure timely connections.
  • Answer multiple phone lines professionally and courteously, directing callers to the appropriate associates.
  • Monitor the front lobby entrance for safety and security protocols.
  • Support the building's safety and security initiatives, including key support in fire drills and managing census reports.
  • Provide backup coverage for other receptionists during lunch breaks.
  • Perform special projects as it relates to the support of the building and facilities.
  • Support Corporate gatherings and functions, including set up, and clean up.
Administrative Assistant Duties:
  • Efficiently manage executive calendars, schedule appointments, meetings, and book travel arrangements.
  • Prepare expense reports for approximately 4 -6 individuals.
  • Prepare and edit correspondence, reports, and presentations, ensuring they conform to company standards.
  • Process purchase orders and invoices.
  • Create and maintain department databases and spreadsheet files.
  • Perform special projects and other administrative functions as assigned.
Qualifications
  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion.
  • Professional appearance and demeanor.
  • Experience in a corporate environment preferred.
  • Familiarity with SAP Ariba and Concur Expense Reporting preferred.
