We are seeking an exceptionally organized and professionally experienced individual to provide top-level business administrative support within a fast-growing company. The role of the Business Operations Administrator is to maintain accurate financial records and accounting, process payroll and routine HR activities, and attend to the daily tasks needed to provide for the needs of our office staff. You should have relevant experience that highlights your capability to conduct bookkeeping and all other administrative tasks to ensure operations run smoothly.
Duties:
- Coordinate customer quotations, sales orders, invoices, payments and refunds
- Maintain accurate customer and GL accounts
- Resolve product price/cost discrepancies, customer issues, etc
- Prepare and distribute reports on key performance metrics
- Assist Customer Success Representatives with timely billing of accounts receivable
- Purchasing of office supplies, asset management, miscellaneous expenses, etc.
- Create, store and maintain company documentation
- Assist with client and employee entertainment, events and projects
- Perform other duties as requested
We Value:
- BA/BA degree required. Previous office management experience preferred
- Familiarity with accounting systems and demonstrated experience with operational activities (IT, HR, Finance, Sales, etc.)
- Organizational skills, attention to detail, and the ability to multi-task and prioritize activities
- Creative problem-solving, consistent goal achievement and the resourcefulness needed to overcome obstacles independently
- Excellent interpersonal, teambuilding and collaborative skills
- Professionalism, transparency and the ability to handle sensitive matters with discretion and diplomacy
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, Teams, etc.) and equivalent Google documents.
- Strong written and verbal communication skills with the ability to write clearly and concisely
- A natural business acumen with the ability to identify gaps and implement continuous improvements
- Assertive, highly motivated contributors who enjoy a challenging and diverse workload
