JOB SUMMARY
Provide administrative support to assigned senior leaders to include, calendar management, travel arrangements, preparing presentations, and preparing expense reports. Supervise daily responsibilities of a team of one to three administrative assistants
Essential Functions:
- Hire, train and supervise a team of 1-3 admin assistants.
- Schedule and organize complex activities, meetings, travel, conferences, and department activities.
- Perform calendar management including coordinating meetings and calls
- Create written correspondence, announcements, and presentations
- Handle confidential information with discretion.
- Act as a project manager for special projects.
- Plan and coordinate Senior Management Meetings, Summit Meetings, and Sales Conferences including securing venues, travel arrangements and all activities.
- Receive and distribute press releases and general information.
Requirements:
Education:
- HS Diploma required, Bachelor’s degree strongly preferred
Experience:
- 5-7 years executive administrative experience required
- 2-3 years’ experience leading a team strongly preferred
Professional Skills:
- Excellent verbal and written communication skills.
- Must be able to maintain the highest level of confidentiality.
- Must be very detail-oriented and have organizational skills.
- Ability to interface well with all departments within the company and to represent the President in a highly professional manner
- Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization.
- Possess a high degree of proficiency with MS Office products including Word, Excel, PowerPoint, and Outlook.
- Proven leadership skills
- Proven ability to build strong relationships with internal and external customers
- Proven ability to produce timely and accurate results
- Strong technical and organizational skills
- Must be able to deal with high pressure situations and deadlines
- Ability to juggle multiple priorities
- Some travel may be required
Physical Requirements
- While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls and talk and hear
- The associate frequently is required to sit for prolonged periods of time and use the telephone frequently
- The associate is regularly required to stand, walk and reach with hands and arms
- The associate must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus

Work Environment

Work Hours
- This is a full-time position. The incumbent must have the ability to work a varying schedule which might include shift work (days or nights), weekdays or weekends, and some holidays. Work hours may vary or change based on departmental requirements.
