Aviation Services Coordinator

Hangar Aviation Management is looking for an Aviation Services Coordinator to join our team. In this role, you will be responsible for assisting with AP/AR processes, organizing and scheduling meetings, answering the phone, and helping assist with events and meetings. This role is a full time position 8am – 4:30pm Monday – Friday and will be in-office at our aviation hangar.


Key Responsibilities:

Basic Accounting Tasks:

  • Assist with accounts payable and accounts receivable processes.
  • Prepare and process invoices, receipts, expense reports and payments accurately and timely.
  • Reconcile credit card statements
  • Maintain accurate financial records and ensure all documentation is filed appropriately.
  • Prepare monthly invoices.
  • Perform data entry tasks related to financial transactions.

Office Administration:

  • Answer and direct phone calls and emails in a professional manner.
  • Organize and schedule appointments and meetings.
  • Maintain office supplies inventory and place orders as necessary.
  • Manage and organize office files, records, and correspondence.
  • Assist in the preparation of regularly scheduled reports.
  • Provide general administrative support to the management team.

Support Functions:

  • Help coordinate company events and meetings.
  • Provide support in the preparation of financial audits.
  • Perform other related duties as assigned.


Qualifications:

  • High school diploma or equivalent; Associate's degree in Accounting, Business Administration, or related field preferred.
  • Proven experience in an accounting or administrative role.
  • Strong understanding of basic accounting principles and procedures.
  • Proficiency in MS Office, particularly Excel and eagerness to learn our flight scheduling and expense tracking system.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive information with confidentiality.
  • Ability to work independently and as part of a team.
